Job summary

Aspen Medical in Brisbane is seeking a Facilities Coordinator to support our national facilities portfolio. You will coordinate planned and reactive maintenance across corporate facilities, manage relationships with landlords and contractors, and maintain lease, utility, asset and compliance records.

You will coordinate workplace inspections, contractor inductions and hazard rectification, and assist with office moves, refurbishments and workspace reconfigurations.

Qualifications

• Minimum 12 months’ experience in facilities coordination or related operations.
• Experience coordinating multiple sites or dispersed property portfolio.
• Experience managing budgets and expenditure.
• Strong communication and stakeholder engagement skills.
• Ability to manage competing priorities with initiative and professionalism.
• Current Australian driver licence and willingness to travel interstate.

Responsibilities

• Coordinate planned and reactive maintenance, servicing and repairs across corporate facilities.
• Manage relationships with landlords, building managers, contractors and service providers.
• Maintain lease, utility, asset, access, maintenance and compliance records.
• Coordinate workplace inspections, contractor inductions and hazard rectification with Health and Safety Manager.
• Coordinate office moves, minor fit-outs, refurbishments and workspace reconfigurations.
• Monitor facilities budgets and expenditure, obtain quotations and review invoices.
• Coordinate responses to facilities incidents and workplace disruptions.
• Report on maintenance, contractor performance and expenditure.
• Support Brisbane office onboarding, workstation allocation, meeting room readiness and office activities.
