Job summary

Electro Optic Systems is seeking a Logistics Support Officer for Defence Systems to coordinate shipments across domestic, import, and export channels. You will prepare documentation, bookings, and maintain accurate shipment records while aligning with project timelines in a high-volume logistics environment.

The role reports to the Logistics Procurement Manager and is a 12-month full-time fixed-term contract.

Logistics Support Officer - Defence Systems

EOS has designed, manufactured and exported advanced technology systems for more than 40 years. Our product range covers remote weapon systems, high energy laser weapons, UAS interceptors and AI-enabled command-and-control for layered counter-drone capability, and ground-based space control capabilities for precision tracking, intelligence and deterrence. This role will support the coordination and execution of logistics activities across domestic, import, and export shipments, ensuring efficient operations and compliance with company and regulatory requirements.

Reporting to the Logistics Procurement Manager, the position will play a key role in managing shipment documentation, coordinating logistics activities, maintaining accurate records, and supporting daily operational requirements across a high-volume logistics environment.

This is a Full-Time Fixed Term position for a period of 12 months.

Key Responsibilities
  • Coordinate shipment requests based on internal shipping requirements and ensure alignment with project timelines
  • Prepare shipment details, documentation, and booking requirements for review and approval by the Logistics Procurement Manager
  • Arrange and book domestic, import, and export shipments with freight forwarders and courier providers (e.g. DHL, FedEx, TNT), ensuring all bookings are completed following approval
  • Prepare and manage complete shipment documentation, including Commercial Invoices, Packing Lists, CIPL (Commercial Invoice & Packing List), Shipper’s Letter of Instruction (SLI), and other required documents, ensuring accuracy and compliance
  • Gather, validate, and maintain shipment data including dimensions, weight, value, destination, and scope, and ensure consistency across documentation and systems
  • Liaise with internal stakeholders (Warehouse, Dispatch, Stores, Engineering, Project Managers) to obtain accurate shipment and packing information
  • Monitor and track shipments from dispatch through to delivery, follow up with freight forwarders on status, and escalated delays or issues to the Logistics Procurement Manager as required
  • Provide timely updates and responses to internal stakeholders regarding shipment status and logistics coordination
  • Manage and monitor the shared logistics/shipping mailbox, responding to general shipping-related queries and coordinating communications across internal and external stakeholders
  • Complete relevant inventory and shipment transactions within the ERP system (Epicor), and extract required shipment data for operational use
  • Maintain accurate shipment logs, tracking records, and organised documentation for audit and retrieval purposes
  • Ensure all logistics activities follow EOS procedures, compliance requirements, and approval processes, including export/import documentation standards
  • Escalate non-standard, urgent, or high-value shipments to ensure appropriate oversight and risk management
  • Support continuous improvement initiatives by identifying opportunities to enhance logistics processes, documentation accuracy, and operational efficiency
  • Provide general administrative support to the logistics function and perform additional duties as required to support business needs
