Logistics Coordinator AM & PM Shift (Cold Storage 3PL)

(AM Shift 6am to 2.00pm or PM Shift 2.30pm to 10.30pm)

Established in 1975, Laverton Cold Storage (LCS) is a growing, Australian family owned and operated dry, cold and freezer storage, logistics and distribution provider servicing medium to large food producers and import/export clients. With specialty facilities in Truganina including a new purpose built facility that’s just opened, we are experts in providing temperature-controlled cold storage warehousing. Due to our recent expansion, we have an exciting opportunity for experienced and motivated Logistics Coordinators, ideally with experience in Cold Chain 3PL Logistics to join our dedicated team on either AM or PM Shift. These roles will be based at one of our Truganina sites (with the flexibility to move between the sites) and are crucial for the smooth operation of the cold storage facility, assisting the manager with the planning, organising, processing, controlling and inventory management for the facility.

In addition, the Logistics Coordinator ensures the timely and accurate organisation of stock, maintenance of orders and internal control procedures and provides both guidance and support to their colleagues and the team. The position requires a high level of accuracy and attention to detail as well as strong administration, organization, self‑motivation, communication, leadership, people management and strong stakeholder management skills. The position acts as the central communication point for the shift and assists the cold storage shift or warehouse manager with guiding the shift operations and provides leadership to operational logistics staff in their absence.

The ideal candidate/s will have experience in logistics coordination and be proactive, detail-oriented, efficient and capable of multi-tasking with a strong focus on following processes and procedures. They must be able to remain calm and thrive in a high-stakes, fast paced environment.

Duties include:

Warehouse Logistics and Inventory:

Ensure the safe, accurate and timely retrieval, loading, transfer and delivery of freight.

Planning, organising and controlling the warehousing, logistics and distribution of our client’s cold storage stock.

Plan warehouse workflow and issue picklists to the reach forklift drivers as required to be picked.

Liaise with the Team Leader to ensure that all orders are picked and prepared for the following day.

Ensure that shipping documents are completed accurately and in compliance with regulatory requirements.

Check off all order pick lists to ensure they align with the customer contracts and orders.

Print off port marks for orders as required.

Communicate to wider team when issues arise.

Assist the warehouse manager where needed and provide coverage in absence.

Assist warehouse floor staff with any WMS or system issues.

Check off outbound orders

Issue seals for containers prior to releasing

Upload and check photos of each shipment to ensure that the correct stock and volume has been loaded prior to shipment.

Monitor stock levels and ensure the timely and accurate organisation of stock

Warehouse and inventory control including monitoring, maintaining and ensuring the accuracy, reliability and accessibility of stock in the inventory tracking system/s

Ensure that clients’ stock is maintained and presentable at all times

Ensure that internal control processes and procedures are followed at all times

Respond to, and resolve, any internal stakeholder or client phone and email queries

Produce reports and investigate variances

Work collaboratively with the warehouse operations and administration teams, providing both guidance and support to peers and colleagues

Obtain relevant permits for shipping (RFP, PRA). Complete PRA’s for full containers so they can be gated at port as slotted.

Stakeholder Management:

Ensure effective communication with all internal staff by building business relationships and actively providing support and guidance

Develop and maintain strong professional relationships withall internal and external stakeholders/ suppliers/ customers/drivers

Provide excellent customer service and ensure feedback and information is relayed back to management

Produce daily attendance list at the start of shift and the Shift Handover report at the end of each shift.

Inventory and Shipment Tracking:

Maintain accurate records of shipments, ensuring inventory levels are updated in real time.

Coordinate with customer co-ordinators to monitor stock levels and address discrepancies.

Conduct inventory audit/checks

Safety Compliance:

Enforce all safety protocols and procedures to ensure the safety of staff and goods.

Conduct regular safety meetings and ensure compliance with OSHA and other regulatory bodies.

Oversee cold storage equipment to ensure it meets safety standards.

Ensure all safety concerns are addressed and reported.

Quality Assurance:

Ensure that the condition of goods is inspected before they are loaded or unloaded, ensuring that damaged or spoiled items are identified and properly handled.

Monitor the quality of the cold storage environment, ensuring it is clean, organised, and free from contaminants.

Problem Solving:

Address and resolve any issues or disruptions in the shipping and receiving process promptly.

Coordinate with other departments (e.g., operations, logistics, and customer service) to ensure smooth operations and resolve discrepancies in shipping, inventory, or temperature control.

Reporting and Documentation:

Maintain and submit daily (or weekly reports) on shift handover, dock operations, staff performance, attendance, inventory levels, and temperature control.

Ensure all damages and incidents are reported in a timely, accurate manner.

Our ideal candidate will have:

Minimum 3 years of experience in cold storage, logistics or warehouse operations, preferably within a 3PL setting with at least 1-2 years in a logistics or warehouse administration role, though more experience would be very well regarded.

An understanding of cold storage environments, food safety standards, safe MHE operation, temperature control systems, and warehouse safety protocols.

Leadership skills, including the ability to motivate, train and guide staff.

Knowledge of the handling of perishable food commodities (meat, dairy, seafood, produce) an advantage

Excellent written and verbal communication skills.

Strong interpersonal, influencing, people and stakeholder management skills.

Proficient in WMS systems (Thomax (an advantage), industry web tools and the Microsoft Office suite (Excel, Outlook, Word, Teams).

Excellent problem-solving and decision-making skills, especially under pressure.

Note: Core days are Monday-Friday but flexibility to work extended hours may be required depending on business needs.
