Liquid Management Australia Pty Ltd is seeking a capable operations administrator in the South Gippsland region to own daily scheduling, client liaison and admin across the septic tank cleaning division. You will book jobs, plan routes, manage job cards and invoicing while ensuring EPA records are accurate.

The role supports growth across the wider Southern Septics Group and requires strong multitasking and relationship-building skills.

Formación

• Experience in scheduling, dispatch or trades-office roles.
• Calm, friendly and professional on the phone, including with urgent customers.
• Familiarity with ServiceM8 and Xero is highly regarded.

Responsabilidades

• Answer customer calls and enquiries, and book jobs.
• Schedule drivers and plan efficient daily routes, liaising with staff.
• Manage job cards, invoicing and follow-up in ServiceM8 and Xero.
• Keep compliance paperwork and EPA waste records accurate and up to date.
• Build relationships with councils, builders, plumbers, real estate agents and commercial clients.
• Chase new contracts and recurring work to strengthen business.
• Follow up extra works required to help finalise jobs to a high standard.
• Help with local marketing and sponsorships if capable.
• Assist across the wider business with admin during quieter periods.

You'll assist in running the liquid waste operations day to day for South Gippsland Septic Tank Cleaning (full training provided during a handover period) helping grow the business and lending a hand across the wider operation within the Southern Septics Group when things are quieter. The liquid waste phone rings most days and we need someone to own it, book it in and assist with our future growth!

Currently 3 vacuum trucks in the fleet, 1-2 on the road each day, occasionally 3.

Key responsibilities

• Answer customer calls and enquiries, and book jobs
• Schedule drivers and plan efficient daily routes, liaising with staff throughout the day
• Manage job cards, invoicing and follow-up in ServiceM8 and Xero
• Keep compliance paperwork and EPA waste records accurate and up to date
• Build relationships with councils, builders, plumbers, real estate agents and commercial clients
• Chase new contracts and recurring work to strengthen business
• Follow up extra works required to help finalise jobs to a high standard
• Assist in booking blockages, Jetter and CCTV bookings
• Help with local marketing, including social media pages and sponsorships (Not essential - only if capable)
• Help across the wider business with admin and ad hoc tasks during quieter periods
• Find better, faster ways of doing things as the business grows

About you

• Scheduling, dispatch, logistics or trades-office experience
• Calm, friendly and professional on the phone, including with urgent customers, ability to think quick and multitask.
• Comfortable with software (Gmail, ServiceM8 and Xero experience highly regarded)
• Confident building relationships and following up leads, not just processing them
• Someone who can find gaps and fix them by creating new processes and SOPs
• Takes ownership and gets things done without being chased
• Excited about company growth
• Flexible and happy to pitch in wherever the business needs it
• Local to South Gippsland or within commuting distance of Leongatha
