Job summary

Transdev is seeking an IT Procurement Administrator in Melbourne. This role provides administrative and operational support across IT procurement, asset management, and telecommunications services, ensuring accurate processing and timely delivery of IT goods.

You will collaborate with IT, Finance, Legal, Procurement, and external suppliers to maintain records, assist with invoicing, and support contract administration. A pathway to grow in procurement and technology operations is available.

Qualifications

• Certificate or Diploma in Business Administration, Procurement, Information Technology, or a related discipline (desirable).
• Experience in procurement administration, purchasing, supplier coordination, finance administration, or a similar support role.
• Understanding of purchase-to-pay processes, procurement governance, and financial controls.
• Experience working with procurement, finance, ERP, or workflow systems is highly regarded.

Responsibilities

• Coordinate IT procurement requests using ServiceNow and approved procurement processes.
• Prepare purchase requisitions and support the creation of purchase orders.
• Order laptops, mobile devices, software licences, telecommunications services, and other IT equipment.
• Monitor deliveries and supplier performance, ensuring business requirements are met.
• Maintain procurement documentation, supplier records, quotations, and contract information.
• Verify supplier invoices against approved purchase orders and pricing agreements.
• Assist with supplier onboarding, renewals, contract variations, and administration activities.
• Maintain contract and renewal registers to ensure important milestones are tracked.
• Coordinate with suppliers, Finance, and stakeholders to resolve invoice and purchasing queries.

Your Impact

As our IT Procurement Administrator, you'll provide administrative and operational support across the IT Procurement function, ensuring purchasing activities, supplier records, contract documentation, invoices, assets, and telecommunications services are managed accurately and efficiently.

You’ll work closely with stakeholders across IT, Finance, Legal, Procurement, business operations, and external suppliers, making this an excellent opportunity for someone looking to develop a career in procurement, technology operations, supply chain, or commercial administration.

What You’ll Do

Procurement & Purchasing Administration:

• Coordinate IT procurement requests using ServiceNow and approved procurement processes.
• Prepare purchase requisitions and support the creation of purchase orders.
• Order laptops, mobile devices, software licences, telecommunications services, and other IT equipment.
• Monitor deliveries and supplier performance, ensuring business requirements are met.

IT Asset & Telecommunications Administration:

• Maintain asset records covering purchases, allocations, transfers, returns, and disposals.
• Support asset lifecycle management and warranty tracking.
• Assist with telecommunications administration, including service connections, plan changes, and cancellations.
• Prepare reports on asset utilisation, telecommunications costs, procurement activity, and expenditure trends.

Stakeholder Support:

• Build strong working relationships with suppliers and internal stakeholders.
• Provide responsive support and help ensure procurement activities are completed accurately and on time.

What You Bring

Experience & Qualifications:

• Certificate or Diploma in Business Administration, Procurement, Information Technology, or a related discipline (desirable).
• Experience in procurement administration, purchasing, supplier coordination, finance administration, or a similar support role.
