Job summary

Volvo Trucks is seeking a Program Administration Coordinator to support national parts and service market programs, including ECom and Ship Direct, on a 12-month fixed contract. The role involves administration, stakeholder coordination, data analysis and process improvement, working with Product Managers, suppliers, dealers and internal teams to ensure orders are processed efficiently.

You will help deliver on-time commitments, improve systems and automation, and contribute to better outcomes

Qualifications

• Experience in administration, program coordination or similar business support roles.
• Experience supporting national programs (ECom, Ship Direct) or similar discrete initiatives.
• Strong data reporting skills and comfort with business systems.
• Qualifications in Business Administration, Finance, Project Management or related discipline advantageous.

Responsibilities

• Coordinate the administration of ECom, Ship Direct and related programs.
• Process orders, invoicing and data management through SAP and Volvo Group systems.
• Build and maintain strong relationships with suppliers, dealers and internal stakeholders.
• Maintain accurate supplier and dealer databases.
• Monitor outstanding orders and proactively manage supplier delivery timeframes.
• Investigate and resolve invoicing and order discrepancies.
• Analyse program performance and prepare stakeholder reports.
• Collaborate with IT teams to improve automation and process efficiency.
• Identify opportunities to streamline workflows and enhance operational performance.
• Support ongoing continuous improvement initiatives across the business.
