Job description

Hills Tankers is seeking an experienced and commercially minded Fuel Scheduling Manager to lead and manage our fuel scheduling function.

This is a key operational role responsible for coordinating the efficient movement of our fuel fleet, ensuring customer requirements are met while maximising fleet utilisation, managing driver resources and maintaining a strong focus on safety and operational performance.

We're looking for someone who understands that transport scheduling is more than putting trucks against loads. You'll need to think ahead, respond quickly when circumstances change and balance customer service, driver availability, equipment, compliance and cost to keep the operation moving.

Key responsibilities

Oversee the day-to-day scheduling and allocation of fuel deliveries, drivers, and equipment.

Develop efficient schedules that maximise fleet utilisation and minimise unnecessary kilometres, delays and downtime.

Coordinate closely with drivers, operations teams and customers to ensure delivery commitments are achieved.

Monitor the daily operation and proactively manage disruptions, breakdowns, delays, driver availability and changing customer requirements.

Ensure scheduling decisions support fatigue management, dangerous goods requirements and all relevant transport and safety obligations.

Maintain visibility over fleet capacity and identify emerging resource constraints before they impact service.

Provide clear direction and support to the scheduling team and build strong accountability around daily operational outcomes.

Work collaboratively with fleet maintenance to ensure vehicle availability and servicing requirements are incorporated into operational planning.

Analyse operational performance and identify opportunities to improve utilisation, productivity and cost efficiency.

Develop strong working relationships with customers, drivers and internal stakeholders.

Escalate operational risks early and provide practical solutions rather than simply identifying problems.

Support continuous improvement across scheduling systems, processes and operational reporting.

About you

You'll be a practical operator with strong transport knowledge and the ability to stay composed when priorities change.

Ideally, you will bring:

Minimum 5+ years' experience in transport scheduling, fleet operations, or a similar operational leadership role.

Experience in fuel, dangerous goods, bulk liquids or tanker transport will be highly regarded.

Strong understanding of fleet utilisation, driver allocation and transport productivity.

Sound knowledge of fatigue management, Chain of Responsibility and heavy vehicle compliance.

Strong leadership and people-management skills.

Excellent communication skills and the confidence to deal directly with drivers, customers and senior management.

Strong problem-solving skills and the ability to make timely operational decisions.

Good commercial awareness, with an understanding of how scheduling decisions affect service, utilisation and operating costs.

Confidence working with transport management systems, scheduling technology, Excel and operational reporting.

A hands-on approach and a willingness to take ownership of outcomes.

About Hills Tankers

Hills Tankers is a proudly family-owned bulk liquid transport company, with depots strategically located from Townsville to Newcastle and now Adelaide. We're committed to delivering reliable, efficient, and safe transport solutions to the dangerous goods and bulk liquids industry - while looking after our people.

What success looks like

The successful person will create a scheduling operation that is safe, disciplined, proactive, and commercially focused.

You'll know where the fleet is, understand what capacity is available, anticipate problems before they become service failures and ensure the right combination of driver and equipment is deployed to each task.

Just as importantly, you'll build a scheduling team that communicates well with drivers and customers and takes accountability for getting the job done.
