Job summary

Qantas Freight is seeking a Documentation Specialist at our Mascot Head Office in Sydney to shape and maintain controlled documentation including SOPs and manuals. You will translate complex regulatory and operational requirements into practical documentation, working with SMEs and process owners to implement clear, compliant workflows.

This full-time 14-month fixed-term role offers exposure to frontline operations, strong stakeholder collaboration and a focus on continuous improvement.

Qualifications

• Experience within freight, logistics, aviation or another operationally focused environment.
• Experience developing business processes, SOPs or other controlled documentation.
• Strong written communication and editing skills, with exceptional attention to detail.
• Ability to translate complex operational information into practical documentation.
• Demonstrated stakeholder management, influencing and problem-solving skills.
• A practical approach to problem-solving and continuous improvement.
• Strong organisational skills with the ability to manage competing priorities.
• Proficiency in Microsoft Word, Excel, PowerPoint and Visio.

Responsibilities

• Develop, review and maintain controlled operational processes, SOPs, manuals, user guides, checklists and communications.
• Work with SMEs and process owners to understand existing practices and document clear, compliant and practical ways of working.
• Validate relevant operational, safety, regulatory and business requirements.
• Coordinate document consultation, review, approval, publication and version-control activities.
• Work with publication partner to ensure documents meet standards and formatting requirements.
• Identify documentation gaps, inconsistencies and process-improvement opportunities.
• Tailor content for different audiences, with a strong focus on frontline clarity and usability.
• Monitor feedback and operational change to keep documentation current and fit for purpose.
• Support operational notices, process maps and training-impact identification where required.
