Equifund Financial Group is seeking a Finance Settlements & Administration Officer to join our Sydney team. You will support our finance brokers and move approved applications through to settlement, coordinating the process with clients, lenders, dealerships and suppliers.
You will handle documentation, lender conditions and post-settlement tasks while maintaining accurate records and supporting a fast-paced finance environment.

As our business continues to grow, we are looking for an organised and proactive Finance Settlements & Administration Officer to join our team.
This is a hands‑on settlements and administration role supporting our finance brokers and helping move approved applications through to settlement.
You will be responsible for coordinating the settlement process, communicating with clients, lenders, dealerships and suppliers, collecting outstanding documentation, satisfying lender conditions and ensuring each deal progresses efficiently through to settlement.
The role also includes general finance administration and broker support, making it ideal for someone who enjoys working in a fast‑paced environment, communicating with people and keeping multiple tasks moving at once.
Previous asset finance experience is highly regarded but not essential. We are open to candidates from administration, banking, lending, mortgage broking, conveyancing, insurance or other professional services backgrounds who have strong attention to detail and are comfortable working with documentation and clients.
Manage approved finance applications through the settlement process
Proactively contact clients, lenders, dealerships, suppliers and insurers to obtain outstanding information and documentation
Review finance approvals and identify outstanding lender conditions
Coordinate invoices, insurance certificates, payout letters and other settlement requirements
Prepare and lodge settlement documentation, compliance documents and lender‑specific forms
Follow up outstanding requirements to ensure settlements progress quickly
Keep clients informed throughout the settlement process and assist with general enquiries
Liaise with lenders and brokers to resolve settlement issues or outstanding conditions
Complete credit checks, bank statement retrievals, ID verification and other finance administration
Maintain accurate client and application records across our CRM and lender portals
Monitor the settlement pipeline and prioritise upcoming settlements
Assist brokers with application and client administration where required
Complete post‑settlement administration and follow‑up
Provide general administrative support to the wider team
We are looking for someone who is highly organised, proactive and comfortable taking ownership of the settlement process.
You will ideally have:
Experience in finance, lending, settlements, banking or administration
Strong attention to detail and accuracy when working with documents
Excellent verbal and written communication skills
Confidence speaking with clients, lenders and suppliers over the phone
A proactive approach to following up outstanding tasks
Strong organisational and time‑management skills
The ability to manage multiple settlements and competing priorities
Good computer skills and confidence learning new systems
A sense of urgency and the ability to work effectively in a fast‑paced environment
A positive, team‑focused attitude
Experience within asset finance, mortgage broking or commercial lending will be highly regarded, however training will be provided for the right candidate.
