Job summary

Cushman & Wakefield in Lara, Victoria is seeking a Facilities Coordinator to oversee reactive and preventative maintenance, ensuring safety and timely operations. You will coordinate trades, manage permits, review work orders and maintain asset records on-site at 1170 Bacchus Marsh Road.

This full-time role (38 hours/week) includes an on-call roster for after-hours work every second week and requires strong attention to detail and clear communication with the onsite team.

Qualifications

• 2+ years' experience in a similar role.
• MS Word and Excel (intermediate/advanced) required.
• Victorian driver’s license.
• JDE E1 or another CMMS experience is desirable.
• PPP experience is highly regarded.
• Strong attention to detail and problem solving in a changing environment.

Responsibilities

• Coordinate reactive and preventative maintenance, ensuring tasks meet KPIs.
• Coordinate trades staff and contractors, including minor works, quotes and refurbishments.
• Issue and manage permits to work, review SWMS and conduct spot checks.
• Manage site access for contractors, inductions, and escorts.
• Review work orders, accruals and invoices, and follow up vendors.
• Maintain asset registers, service records and compliance documentation.

Facility Coordinator

The Facilities Coordinator is responsible for controlling the reactive and preventative maintenance program to ensure the site operates within the Client's and Company's requirements and guidelines in a safe and timely manner.

Job Description Facility Coordinator | Lara, Victoria | Full time Join Cushman & Wakefield as a Facility Coordinator at a correctional facility in Lara and help keep the site running safely and on time. You'll control the reactive and preventative maintenance program so the site meets the client's and the company's requirements.

The role Full time, 38 hours a week, Monday to Friday Based onsite at 1170 Bacchus Marsh Road, Lara Includes an on-call roster for after-hours reactive works (every second week)

What you'll do

• Coordinate reactive and preventative maintenance, making sure jobs are completed within KPIs
• Coordinate work for onsite trades staff and contractors, including minor works, quotes and the cell refurbishment program
• Issue and manage permits to work, review contractor SWMS and run contractor spot checks and plant room inspections
• Manage site access for contractors, including permission to enter forms, the green pass process, inductions and escorts
• Review work orders, monthly accruals and invoices, and follow up vendors
• Keep asset registers, service records and compliance documentation up to date
• Support incident reporting, investigations, audits and risk assessments

About you

• 2+ years' experience in a previous role
• Intermediate or advanced Microsoft Office skills, with Word and Excel essential
• Victorian car licence
• JDE E1 or similar web-based CMMS experience is highly desirable
• Previous PPP experience is highly regarded
• A strong eye for detail, good communication and the ability to solve problems in a changing environment
