Qualifications

  • Experience supporting facilities or operational services in a large, public-facing organization.
  • Strong organisational skills and attention to detail.
  • Experience operating hand and power tools to undertake minor repairs, building maintenance and furniture installations.
  • Good written and verbal communication skills.
  • Ability to work effectively in a team environment and follow established procedures.
  • Basic understanding of WHS obligations and contractor compliance.
  • Familiarity with property or facilities systems such as asset registers or contractor management tools.
  • Experience working in cultural institutions or government environments.
  • Forklift and/or EWP license or ability to obtain.

  • Coordinate contractor inductions, licenses and documentation.
  • Assist with WHS inspections and compliance checks.
  • Maintain accurate records and assist with reporting for property operations.
  • Communicate scheduling and access requirements to internal stakeholders and external providers.

The APS 4 Facilities Officer provides assistance in the daily coordination of facilities maintenance services across the Museum’s owned and leased buildings. This includes cleaning, accommodation and storage logistics, maintenance, coordination and tracking of external service providers.

Working under the direction of the Facilities Management Coordinator, the role assists with contractor onboarding and compliance recordkeeping, facilitates routine service delivery tasks and escalates non-routine issues to senior staff as required. The position is expected to undertake basic maintenance tasks, communicate effectively with both third party service providers and internal stakeholders, maintain accurate documentation and contribute to the safe and efficient functioning of the Museum’s physical environment.

Key accountabilities
  • Support the administration of day-to-day facilities services including facilities maintenance, cleaning, pest control and landscaping.
  • Undertake basic maintenance tasks, move and install office furniture and provide logistics support to the broader team. Please note there is a significant manual handling element to the role.
  • Coordinate and maintain records for contractor inductions, licenses, and other documentation.
  • Investigate maintenance and WHS issues raised within the Museum, log and monitor jobs, supervise and escort contractors where required and conduct follow-ups.
  • Liaise with Museum staff and external providers to communicate scheduling and access requirements at multiple sites.
  • Maintain documentation in support of contract management and undertake simple procurement activities.
  • Provide accurate and timely information to the Facilities Management Coordinator and Manager Property Operations to contribute to the preparation of reports.
  • Assist with WHS inspections and compliance checks as directed.
  • Ensure safety and accessibility requirements are supported through day-to-day tasks.
