Job summary

Laing O’Rourke is seeking an Executive or Personal Assistant to join our AUKUS team in Osborne, SA. You will support senior leaders with diary management, travel coordination and confidential administrative tasks, ensuring smooth operations on site.

Applicants must be Australian citizens with or able to obtain NV1 level security clearance, and bring proven experience in fast‑paced, project‑driven environments. This role offers on-site work and strong development opportunities.

Qualifications

  • Proven EA/PA experience in construction or project environments.
  • Experience supporting senior leaders with diary management.
  • Ability to manage multiple priorities in a fast-paced setting.
  • Experience coordinating meetings, travel and events.
  • Professional, front-of-house demeanour and discretion.
  • Australian citizenship with ability to obtain NV1 security clearance.

Responsibilities

  • Monitor calls, mail and material for the senior manager.
  • Despatch correspondence to appropriate personnel.
  • Provide nominated admin and secretarial support.
  • Prepare monthly/quarterly corporate reports.
  • Gather information for conferences, speeches and reports.
  • Take minutes and maintain expense claims.
  • Assist in data collation, formatting and filing.
  • Arrange appointments for the senior manager.
  • Receive visitors and manage front-of-house inquiries.
  • Organise travel and other executive requirements.
  • Delegate duties as required and observe safety procedures.

Laing O’Rourke, with joint venture partner Amentum Australia, will play a central role in supporting Australian Naval Infrastructure (ANI) to develop and deliver the Nuclear-Powered Submarine Construction Yard (NPSCY) project at Osborne, South Australia. We will provide program and construction management services of nuclear related civil infrastructure, site‑wide nuclear licensee development expertise, and nuclear safety leadership.

We are currently seeking an Executive or Personal Assistant to join our AUKUS team.

Key Responsibilities
  • Monitor incoming telephone calls, mail and other material
  • Review incoming correspondence, despatching material to appropriate personnel.
  • Perform nominated administrative and secretarial duties as required for effective operation of the senior manager
  • Prepare monthly and quarterly corporate reports in accordance with a specified schedule.
  • Obtain and organise information for use in conferences, speeches and reports as requested by the senior manager
  • Minute taking.
  • Maintain Employee Expense Claims.
  • Assist in data collation, formatting, updating and filing
  • Coordinate and allocate appointment times for the senior manager.
  • Receive and question visitors and callers to ensure they should not be referred elsewhere.
  • Operate and maintain confidential and personal files, ensuring they are secure at all times.
  • Organise and facilitate travel and other business requirements of the executive.
  • Delegate administrative and secretarial duties as required
  • Observe safe systems of work relevant to your work area and report potential hazards.
About you
  • Proven experience as an Executive Assistant, Personal Assistant or in a Team Coordinator role, ideally within construction, infrastructure, or project-based environments
  • Demonstrated experience supporting senior leaders/executives with high-level administrative and diary management tasks
  • Strong ability to manage multiple priorities in a fast-paced, deadline-driven environment
  • Experience coordinating meetings, travel, and events, including logistics and stakeholder management
  • Confident in acting as front of house, with a professional and approachable manner
  • Ability to handle confidential information with discretion and professionalism
  • Experience supporting site-based or project teams
  • Applicants must be Australian citizens and hold or be able to obtain an Australian Defence Security Clearance to NV1 level.
