Executive Assistant & Operations Coordinator - PharmaC Group - Brisbane

PharmaC Group | Brisbane | Full-time, office-based

$90,000–$110,000 plus super, depending on experience

About us

PharmaC Group operates a growing portfolio of community pharmacies, alongside property investments and development projects.

We are seeking an experienced Executive Assistant & Operations Coordinator to work directly with the owner, providing practical support across multiple businesses and entities.

This is a varied role with meaningful responsibility and scope to grow. You will organise priorities, coordinate documents, follow up outstanding matters and ensure tasks progress through to completion.

About the role

Your responsibilities will include:

  • Managing email priorities, drafting correspondence and coordinating meetings.

  • Maintaining a central action list, tracking deadlines and following up outstanding tasks.

  • Liaising with pharmacy partners, accountants, lawyers, lenders, property managers, builders and consultants.

  • Gathering and organising documents for pharmacy applications, business acquisitions, finance requests and property transactions.

  • Maintaining accurate records of companies, trusts, ownership details, agreements and key dates.

  • Coordinating administrative requirements across pharmacies, investment properties and development projects.

  • Collecting financial reports and supporting communication with bookkeepers and accountants.

  • Preparing meeting agendas, recording actions and ensuring follow-up.

  • Improving filing systems, workflows and administrative processes.

  • Preparing a concise weekly update on progress, upcoming deadlines and decisions requiring the owner’s attention.

You will take ownership of coordination and preparation, with final commercial decisions and approvals remaining with the owner.

About you

You have experience supporting a business owner, managing director or senior executive and are comfortable working independently in a small office environment.

You will bring:

  • Experience as an Executive Assistant, Senior Personal Assistant, Office Manager or Operations Coordinator.

  • Excellent organisation and the ability to manage competing priorities across several businesses.

  • Initiative, sound judgement and consistent follow-through.

  • Clear, professional written and verbal communication.

  • Discretion when handling confidential financial, business and personal information.

  • Familiarity with financial reports, invoices and business documentation.

  • Strong Microsoft Office skills, particularly Excel, and confidence using Gmail, OneDrive and digital document systems.

  • A willingness to use AI tools thoughtfully to improve efficiency, while checking accuracy and maintaining confidentiality.

  • The ability to recognise what can be progressed independently and what requires approval.

A bookkeeping or accounting background would be beneficial, particularly experience working across multiple companies or trusts, using Xero, and assisting with reconciliations and financial reporting. This is desirable rather than essential.

Experience in pharmacy, healthcare, property, construction, professional services or a business operating across multiple entities will also be highly regarded.

Pharmacy qualifications are not required.

What we offer
  • $90,000–$110,000 plus super, depending on experience.

  • A full-time, Brisbane office-based role working directly with the owner.

  • Varied work across pharmacy operations, acquisitions, property investment and development.

  • The opportunity to establish effective systems and make a visible contribution.

  • Scope for greater responsibility as the group expands.
