Job summary

Doris Talent is partnering with a rapidly growing Australian-owned business to appoint a newly created Executive Assistant / Office Manager in Melbourne. The role balances high-level executive support with hands-on office management, culture and events, reporting to the General Manager.

You’ll be trusted to create structure, triage priorities, and make the GM’s day more efficient, while shaping the Melbourne office and contributing to a collaborative, autonomous team culture.

Qualifications

  • Experience as an Executive Assistant or Office Manager.
  • Ability to work autonomously in a growing business.
  • Strong organisational and multitasking capabilities.

Responsibilities

  • Manage the General Manager’s calendar, meetings, and priorities.
  • Coordinate domestic and international travel, flights, accommodation and itineraries.
  • Prepare meeting agendas, presentations, and confidential documents.
  • Oversee day-to-day running of the Melbourne office and facilities.
  • Support onboarding and partner with external HR on recruitment processes.
  • Review and improve office processes as the business grows.
  • Organise Town Halls, trainings, and internal meetings.
  • Plan monthly team lunches and annual events.
  • Assist with upcoming trade shows and office moves.

doris Talent is exclusively partnering with a rapidly growing Australian-owned business operating within the energy and infrastructure sector to appoint a newly created Executive Assistant / Office Manager.

Working with some of Australia's largest utilities, contractors and infrastructure providers, the business supplies specialist equipment supporting major electricity transmission, renewable energy and infrastructure projects across the country.

They're growing quickly, the volume and complexity of work is increasing, and with that growth comes the need for someone brilliant.

This isn't a role where you'll inherit a perfectly documented set of processes and simply keep them ticking over. They want someone who can see what's needed, create structure, make decisions and ultimately make life easier for the General Manager and wider team.

You'll be given trust, autonomy and the space to make the role your own. If you're the kind of EA who likes being given the headline, taking the information and running with it, this could be a great next move.

The Opportunity:

Reporting directly to the General Manager, around 50% of your role will focus on executive support, with the remainder spanning office management, administration, people support, culture and events.

A big part of your remit will be helping the GM create more structure around his day, week and month, triaging priorities, managing access to his time and creating the space he needs to focus on leading a rapidly growing business.
But this isn't just about managing a diary.

You’ll become the go-to person for a close‑knit Melbourne team, taking ownership of the office, helping things run smoothly and spotting opportunities to make things work better.

There isn’t a blueprint for everything here, and that's part of the opportunity. If you notice a gap, they want you to question it. If you think there's a better way of doing something, they want to hear it.

What You’ll Be Doing:
  • Managing the General Manager’s calendar, meetings, appointments and priorities.
  • Acting as a trusted gatekeeper, helping triage requests and create structure around the GM’s time.
  • Coordinating domestic and international travel, including flights, accommodation and itineraries.
  • Preparing meeting agendas, presentations, documentation and confidential correspondence.
  • Taking ownership of the day-to-day running of the Melbourne office.
  • Coordinating facilities, building management requests, office access, supplies and equipment.
  • Supporting new starter onboarding, including laptops, workstations and access requirements.
  • Working alongside an external HR partner on onboarding, offboarding, recruitment administration and people initiatives.
  • Reviewing and improving office processes and procedures as the business continues to grow.
  • Coordinating Town Halls, training sessions and internal meetings.
  • Organising monthly team lunches, celebrations, social activities and annual events.
  • Supporting upcoming trade shows and broader business events.
  • Playing a key role in an upcoming office move within the building.

About You:

You’ll probably already have experience as an Executive Assistant, Office Manager or in a blended EA / Office Management position, ideally within a growing, fast‑paced business.

More importantly, you’ll be someone who is comfortable with autonomy.
The General Manager has a direct communication style. He’ll give you the headline, provide clear expectations and trust you to take it from there. He doesn’t want to micromanage or continually circle back, he wants someone he can rely on to own something through to completion.

You’ll bring:
  • Strong EA experience supporting senior leadership.
  • Excellent organisation and the ability to manage multiple competing priorities.
  • Confidence managing complex domestic and international travel.
  • Clear, concise and direct written and verbal communication.
  • Strong problem‑solving skills and the ability to make decisions.
  • A proactive approach - you’re naturally looking ahead rather than waiting to be asked.
  • The confidence to identify a gap, suggest a better way and implement it.
  • A genuine willingness to roll up your sleeves and help wherever needed.
  • Above all, you're someone who can be given information, say "got it", and run with it.
