Some Executive Assistant roles are about managing diaries. This role is about helping shape how a leadership team operates.

Supporting CBRE's CEO, COO and People Director for Pacific, you'll be a trusted partner behind the scenes, ensuring priorities move forward, leadership forums run smoothly, and critical activities are delivered with professionalism, discretion and care.

You'll work closely with senior leaders across Australia, New Zealand and offshore teams, acting as a central point of coordination in a highly connected and fast-moving environment.

About the role

You'll provide high-quality executive support across calendar management, governance, travel, events and operational coordination. Equally comfortable handling confidential information, solving problems and improving processes, you'll bring a proactive approach and a genuine desire to make life easier for the people you support.

What you'll do

  • Manage complex executive calendars, meetings and travel arrangements.

  • Coordinate Executive Committee and leadership meetings, including agendas, papers, minutes and actions.

  • Prepare presentations, briefing packs, correspondence and executive-ready documentation.

  • Process expenses, reconciliations, invoices and approvals accurately and on time.

  • Coordinate leadership events, conferences and major Pacific initiatives including Circle of Excellence activities.

  • Build strong relationships across leaders, stakeholders, EAs and service teams.

  • Identify opportunities to streamline administration through Microsoft 365, automation and approved AI tools.

  • Drive tasks through CBRE's matrixed organisation and ensure follow-through on actions.

About you

  • Experience supporting multiple senior executives or C-suite leaders.

  • Strong diary, travel, meeting and stakeholder management capability.

  • Excellent judgement and discretion when handling sensitive information.

  • Advanced Microsoft 365 skills across Outlook, Teams, Word, PowerPoint and Excel.

  • A proactive, organised and solutions-focused approach.

  • Comfortable working independently while managing changing priorities.
