About the Role:

To manage the day-to-day operational functions within the Reception Guest Relations Teams and support GR Central (Switchboard, MRBS, Admin) when required. To also command a strategic outlook to innovate and enhance Guest Relations operations.


What You'll Do:


  • Provide supervisory guidance and support for Reception teams. Including resolution handling, feedback management, standards & client service delivery.

  • Co-ordinate any catering, audio visual and equipment requirements requested by the client with third party providers

  • Manage MRBS - this includes assisting with booking future and same day reservations, cancellations and/or amendments to bookings as per the clients requests

  • Support the Guest Relations Managers with providing feedback for Senior Associate's performance reviews and personal development goals. Ensuring set objectives are being met by the team including clear understanding of department's KPI's.

  • Lead by example. Encourage and motivate staff, provide constructive feedback and corrective coaching when needed, with solutions focus mindset.

  • Assist the administrative duties, work order reporting or project work as required including recruitment, development coaching, rosters/breaks, monthly reporting, timesheets, leave management and ensuring team's grooming is inline with style standards.

  • Provide the necessary leadership support in the absence of the Guest Relations Manager including sharing of client or colleague feedback in a timely manner.

  • Project lead - Workplace activations, Toolbox Talk Training, Communications meetings when required. Contribute to any online platfrom posts and engage with client activations, when possible, for the benefit of both CBRE and Macquarie.

  • Gain knowledge on key personnel and vendors locally/regionally within CBRE & Macquarie such as Catering, Facilities Management, Tech, Procurement, Executive Committee and Directors.

  • Maintain roster flexibility and availability for VIP Client Events and team leave.

  • Ensure strict compliance with client/company WHS policies - access to relevant WHS Resources

  • Report all incidents within specified timeframes.

  • Carry out, report and record monthly and quarterly inspections and ensure accurate remediation of defects or non-compliances, liaising with correct vendors and partners.

  • Where applicable, induct vendors to site specific situations and keep records.

  • Carry out comprehensive and effective work safety and risk mitigation procedures.

  • Carry out and keep records of safety and spot checks demonstrating commitment to WHS, including Harbor observations

  • WFH (if applicable) set up and equipment also adheres to company's WHS standards.


What You'll Need:


  • Leadership, delegation and management / supervisory skills.

  • Strong organisational and time management skills and high level of attention to detail.

  • Strong verbal and written communication skills - ability to communicate at all levels.

  • Excellent personal presentation.

  • Complaint handling - able to resolve problems as they arise in an appropriate manner.

  • Experience in a corporate or five-star hotel environment. Or Event Management.

  • Administrative skills - Word, Power point, Zoom, Excel and Outlook are desirable.
