Auburn District Hospital, part of NSW Health, seeks an experienced Executive Assistant to support the Auburn Hospital Executive Team. You will manage complex diaries, prepare briefs, and liaise with senior leaders across portfolios in a fast-paced healthcare environment.

What you'll be doing

As an Executive Assistant, you will provide high-level executive, administrative and secretariat support to members of the Auburn Hospital Executive Team. This role requires exceptional organisational skills, sound judgement, discretion and the ability to manage competing priorities within a complex and fast-paced healthcare environment.

You may initially support one of several executive portfolios including General Manager, Allied Health/Nursing and Midwifery, Finance/Human Resources, or Quality & Safety/Medical Administration.

  • Manage complex executive diaries, correspondence, emails and confidential communications
  • Coordinate meetings, prepare agendas, briefing papers, presentations and minutes, and follow up action items
  • Provide professional liaison and responses to internal and external stakeholders, government agencies and senior executives
  • Prepare high-quality reports, ministerials, briefing notes and executive documentation within strict timeframes
  • Maintain effective records management systems while proactively resolving issues and supporting operational priorities
  1. Demonstrated comprehensive and successful experience in providing high level executive assistance and support to the senior executive; along with relevant post-secondary qualifications and/or the equivalent in extensive experience, and the proven capacity to operate effectively in a complex environment demanding confidentiality, flexibility and discernment.
  2. Proven high level organisation skills including the ability to problem solve, prioritise workload, multi-task and meet deadlines, along with the demonstrated capacity to exercise the appropriate initiative and judgement.
  3. Demonstrated ability to identify issues of relevance, sensitivity and confidentiality, to interpret complex information and advice and use discretion in knowing when to elevate matters of importance and/or urgency
  4. Demonstrated ability to independently and effectively manage the diary and emails of (a) busy senior manager/s and being able to competently and confidently make appropriate decisions and progress issues on their behalf.
  5. Demonstrated ability to foresee and carry out the duties of the position independently, as well as being flexible and adaptable and able to work effectively in a team environment and conscientiously work to team goals and values, share knowledge and work co-operatively, take personal accountability to achieve specified business outcomes, and have a strong commitment to learning and personal development.
  6. Possess excellent oral communication skills with a strong customer service focus, along with high level interpersonal skills enabling effective communication with diverse groups of people
  7. Demonstrated high level written skills with strong attention to detail and the ability to prepare and review complex correspondence within a senior executive environment, including but not limited to briefing notes, ministerials and advice to internal and external clients
  8. Advanced proficiency in the use of the Microsoft suite of office products and ability to effectively utilise an electronic document management system such as HP ERM, EXCEL, MS Word, MS Outlook and the ability to learn/use HealthRoster.
