Job summary

Lander & Rogers in Melbourne is seeking an Executive Assistant to support our Partner & Head of International, who leads the firm’s international practice and drives growth across major markets.

You will manage a demanding calendar, coordinate domestic and international travel, prepare confidential materials, and deliver proactive, discreet executive support in a fast-paced legal environment with flexible work-from-home options.

Qualifications

  • Proven experience as an executive assistant or personal assistant in a professional environment (ideally within a law firm or professional services firm).
  • Strong organisational and diary management skills.
  • Experience coordinating international travel and navigating visa processes.
  • Advanced proficiency in Microsoft Office.
  • Excellent communication and stakeholder management skills.
  • Ability to work independently and adapt to changing priorities.
  • Advanced proficiency of Microsoft Office, including Word and PowerPoint.
  • Strong verbal and written communication skills and a sharp eye for detail.
  • Proven decision making and problem-solving ability.
  • Demonstrated time management and organisational skills.
  • Proven influencing and conflict management skills.
  • Strong ability to skilfully deal with people at all levels.

Responsibilities

  • Manage a complex calendar by scheduling meetings, resolving conflicts, and handling urgent changes.
  • Arrange and manage all aspects of domestic and international travel, including itinerary, flight bookings, accommodation, visa applications, and ground transport.
  • Minute taking and overseeing the preparation, distribution and management of minutes and attachments and implementation of delegated actions
  • Preparation of agendas, collating information and circulating confidential information
  • Typing, editing and proof-reading documents, letters, memos and reports
  • Problem solving including prioritisation of work, negotiation and strategic management of issues and risks with escalation where appropriate
  • Develop, edit, and tailor presentations for board and C-suite meetings.
  • Expense management, process and reconcile expenses, ensure timely submission of claims.
  • General administration for both professional and personal tasks
  • Liaise with internal and external parties, to coordinate events, meetings, and presentations.
  • Respond, if required, to calls or emails outside of normal hours when the Partner is travelling across different time zones.
  • Managing and undertaking various ad hoc tasks as required including proxy time entry, email dictation etc.

About the Role

As Executive Assistant, you will deliver high-level support to our Partner & Head of International, who leads our firm's international practice, driving our strategy to be the independent Australian firm of choice for inbound investment from key overseas markets such as the US, UK, Japan, China and Singapore.

In this pivotal role, you'll be instrumental in enabling their success by managing a diverse range of administrative tasks, whilst providing proactive and confidential assistance in a dynamic, fast-paced legal environment. We are pleased to provide flexible work-from-home options.
