Job description

We’re looking for a highly organised, people‑focused Project Administrator to help establish and support a new project. This is a great opportunity for someone who thrives on bringing structure to moving parts, connecting people with process, and creating the rhythm that helps senior leaders and project teams deliver effectively.

You’ll play a central role in setting up efficient ways of working, coordinating priorities, and ensuring the project office operates smoothly from day one. Working closely with two Senior Managers and their teams, you’ll provide high‑level executive and project administration support in a complex, fast‑paced project environment.

Join Worley’s team delivering EPCM services for one of Australia's largest copper growth programs with a leading global mining company. Spanning major underground mine expansions and processing infrastructure projects, this portfolio will help unlock future copper supply while offering the opportunity to work alongside a collaborative team that values belonging, innovation, and shared success.

What you’ll do

As Project Administrator, you will support the establishment and ongoing coordination of a new project office, helping bring together people, processes, systems, and ways of working to create a structured, efficient and collaborative team environment.

  • Provide proactive, high‑level executive and project administration support to two Senior Managers and their respective project teams, enabling effective delivery across a complex project environment.
  • Support the establishment and ongoing coordination of a new project office, bringing together people, processes, systems, and ways of working to create a well‑structured and efficient team environment.
  • Coordinate complex domestic and international travel arrangements, accommodation bookings, mobilisation logistics, and related requirements in line with project and business procedures.
  • Manage calendars, meeting schedules, team events, workshops, and key project forums, ensuring priorities are aligned and stakeholders are well prepared.
  • Prepare agendas, coordinate meeting logistics, capture accurate minutes, track action items, and follow up with stakeholders to support timely delivery and accountability.
  • Develop, maintain, and continuously improve project administration processes, templates, trackers, distribution lists, organisational charts, and document control practices.
  • Prepare expense reports, presentations, reports, correspondence, and project documentation with a strong focus on accuracy, consistency, and professional presentation.
  • Act as a central point of coordination for the project office, connecting senior leaders, project teams, internal functions, and external stakeholders to support clear communication and effective workflow.
  • Provide broad project office administration support, including coordination of meeting rooms, catering, facilities, onboarding activities, and day‑to‑day operational requirements.
About You
  • Demonstrated experience providing senior‑level administrative, executive, or project office support within a fast‑paced project, engineering, construction, resources, or professional services environment.
  • Strong capability in establishing and improving project office processes, systems, rhythms, and ways of working, with the confidence to bring structure to evolving or ambiguous environments.
  • Exceptional organisational skills, with the ability to manage competing priorities, anticipate requirements, follow through on actions, and keep senior leaders and project teams on track.
  • Highly collaborative and people‑focused, with proven ability to build trusted relationships, connect stakeholders, and support effective communication across multidisciplinary teams.
  • Advanced attention to detail and strong written communication skills, with the ability to prepare high‑quality documentation, minutes, reports, presentations, and correspondence.
  • Confident user of Microsoft Office applications and project administration tools, with the ability to learn new systems quickly and support consistent document and information management practices.
  • A proactive, solutions‑focused approach, with the judgement, initiative, and professionalism to operate effectively in a senior project environment.
Benefits to you
  • Flexible / hybrid working
  • Paid parental leave
  • Purchased leave scheme
  • Salary packaging including novated leases, personal electronic devices and EV car subscription
  • Salary continuance insurance
  • Professional membership reimbursement
  • Employee discounts including health insurance, gyms, hotels & car hire
