Job summary

The Royal Australasian College of Surgeons (RACS) is seeking a Program Coordinator to support the delivery of the CLEAR and TIPS courses as part of our Skills Training program. You will coordinate practical and administrative aspects of courses and events, ensuring smooth delivery for participants, trainees and faculty.

You will join a collaborative team and report to the Manager, Skills Training; role includes event coordination, database management, and stakeholder liaison in a hybrid,

Qualifications

  • Certificate or Diploma in Business Administration, Event Management, Education or a related field, or equivalent work experience.
  • Experience coordinating events, courses or educational workshops.
  • Strong customer service skills and the ability to communicate clearly and respectfully with people at different levels, including senior staff, Fellows, vendors and course presenters.
  • Excellent written communication skills, including the ability to prepare clear emails, correspondence and reports.
  • Strong organisational and time management skills, with a good eye for detail.
  • The ability to solve problems and respond calmly when plans change.
  • The ability to work independently while also contributing effectively to a team.
  • Experience working with databases and reporting systems; experience with Dynamics 365 would be beneficial.

Responsibilities

  • Coordinate the practical and administrative aspects of courses and events.
  • Support faculty with course registrations and travel arrangements.
  • Process and manage event registrations, enrolments and withdrawals.
  • Coordinate venue bookings, catering and other event requirements.
  • Monitor course expenditure and support financial administration.
  • Liaise with venues, caterers, travel providers, course presenters and other suppliers.
  • Attend courses and events to coordinate logistics and support participants and faculty.
  • Evaluate courses and identify delivery improvements.
  • Maintain accurate databases and course information.
  • Prepare correspondence, reports and other communications.
