Job summary

Colliers WMS is seeking an exceptional candidate to join our team on an initial contract basis in Melbourne CBD, supporting a prestigious corporate client. You will be the first point of contact for visitors and employees, delivering a welcoming and professional workplace experience while supporting day-to-day operations.

Role covers reception, meeting room coordination, events and general office administration in a premium corporate environment.

Qualifications

• Experience in a corporate reception, workplace experience, hospitality or customer service role.
• Strong customer service skills with a genuine passion for creating positive experiences.
• Professional presentation and excellent verbal and written communication skills.
• Outstanding organisational skills and the ability to manage competing priorities.
• Experience using Microsoft Office applications and workplace technology platforms.

Responsibilities

• Providing a professional and welcoming front-of-house experience for all visitors, clients and employees.
• Managing incoming calls, enquiries and correspondence, ensuring prompt and accurate responses.
• Coordinating meeting room bookings, room set-up and basic AV support to ensure meetings run seamlessly.
• Maintaining reception, meeting rooms and shared workspaces to a consistently high standard.
• Managing visitor access, sign-in procedures and workplace security processes.
• Coordinating courier services, incoming and outgoing mail, and parcel deliveries.
• Arranging refreshments and catering requirements for meetings and events.
• Supporting workplace events, functions and client engagement activities.
• Assisting with general office administration and operational support activities as required.
• Building strong relationships with internal stakeholders, visitors and service partners to deliver an outstanding workplace experience.
