Job summary

Hickory, a leading Australian construction and property company, seeks an experienced Contracts Administrator for a $250m+ residential project in Melbourne. You will work closely with the Project Manager and broader team to manage commercial activities from procurement through practical completion, ensuring alignment with budgets and timelines.

You will review the BoQ, implement financial tools, process tasks on the financial calendar and prepare timely reports.

Qualifications

  • Bachelor-level qualification in construction management or related field.
  • Minimum of 5 years' experience in a similar commercial construction role.
  • Experience negotiating complex contracts with multiple stakeholders and contractors.

Responsibilities

  • Collaborate with Project Managers on financial activities.
  • Review Bill of Quantities and set up project budgets.
  • Implement and maintain financial tools.
  • Process financial tasks according to Hickory's financial calendar.
  • Provide accurate, timely financial reports.
  • Submit progress claims promptly and monitor payments.
  • Administer site payments and supplies.
  • Manage subcontractor tendering and contracts.
  • Conclude final accounts and release securities.
  • Analyse tender documents and contracts and mitigate commercial risks.
  • Prepare subcontractor agreements and monitor extensions of time.
  • Oversee contract administration and liaise with stakeholders.
  • Document design progress and ensure timely completion.

POSITION OVERVIEW

We are seeking an experienced Contracts Administrator to join a $250m+ residential project. Working closely with the Project Manager and wider construction team, you will play a key role in the commercial management of the project from procurement through to practical completion.

RESPONSIBILITIES

  • Collaborate with Project Managers on financial activities.
  • Review Bill of Quantities including agreed Value Management Items and set up project budgets, ensuring accuracy and seeking clarity where alignment with estimates is not achieved
  • Implement and maintain financial tools.
  • Process financial tasks according to Hickory's Financial calendar.

Reporting

  • Provide accurate, timely financial reports.

Progress Claims

  • Submit progress claims promptly.
  • Monitor and expedite payments.

Payments and Supplies

  • Administer site payments and supplies.
  • Process payments in financial software (e.g., Cheops).

Contract Management

  • Manage subcontractor tendering and contracts.
  • Maintain subcontractor records and insurances.
  • Conclude final accounts and release securities.

Commercial and Risk Management

  • Analyse tender documents and contracts.
  • Identify and mitigate commercial risks.
  • Consult on potential claims and disputes.

Procurement

  • Prepare and manage subcontractor agreements.

Contract Administration

  • Oversee contract administration.
  • Track milestone events and dates.
  • Liaise with stakeholders and manage extensions of time.

Contractual Compliance

  • Ensure compliance with insurance and contractual requirements.
  • Submit necessary notices and claims.

Design Management

  • Review contract documents and project requirements.
  • Manage design issues and assess impacts on timelines and costs.
  • Document site progress.

Project Support

  • Collaborate with design consultants.
  • Ensure effective use of Dynamics 365.
  • Prepare handover manuals.
  • Assist Project Manager in achieving Practical Completion.

TO BE SUCCESSFUL IN THE ROLE

  • Bachelor of Construction Management, Engineering, Architecture, Project Management or equivalent.
  • Minimum of 5 years' experience in a similar role within the commercial construction industry.
  • Experience in large-scale construction projects.
  • Experience in successfully negotiating complex contracts with a variety of stakeholders, including trade contractors, suppliers and clients.
