Job summary

Huon Projects Pty Ltd in Sydney is seeking a capable project coordination administrator to help move projects along from kickoff to close. You don't need hands-on construction experience, but you will manage calendars, prepare docs, coordinate between clients, consultants and trades, and assist with pricing and site info.

You will work in a small team at Marsden Park, 7:30am–5:00pm Mon–Thu, 7:30am–4:00pm Fri, with occasional work from home and regular travel to sites around Greater Sydney.

Qualifications

• 1–3 years in admin or project coordination, ideally within construction or a trades-adjacent capacity.
• Strong organisational and communication skills with attention to detail.
• Comfort working in a small team and willingness to grow with the business.

Responsibilities

• Meeting & calendar management
• Documentation & presentations
• Coordinating between clients, consultants, and trades — scopes, trade packages, proposals/presentations
• Engaging with subcontractors and suppliers for pricing, site inspections, project information etc
• Estimating support
• Tracking statutory approvals (DA/CC/CDC) through to permits and critical stage inspections
• Drafting & processing subcontracts, invoices, and progress claims
• Operating systems (MS365, Smartsheet, Xero, Claude AI etc.)
• Helping maintain and improve our processes as we grow
• General small business administration support
