Job summary

Stamford Plaza Sydney Airport is seeking a highly motivated Conference and Events Manager to join our Conference & Events team. You will lead the coordination of inquiries, proposals and contracts, while ensuring flawless event execution and exceptional guest service.

The role requires 2–3 years of events experience, strong leadership, stakeholder management and the ability to drive sales and client relationships.

Qualifications

• Tertiary qualifications in Events, Hospitality or related field (desirable).
• Minimum 2–3 years experience managing functions and events within events or hospitality industry.
• Experience working with multiple stakeholders and managing large, complex events.

Responsibilities

• Manage Conference & Events activity and service levels within the team to coordinate inquiries, proposals and contracts, including invoicing and reporting.
• Proactively convert inbound enquiries into confirmed events and build long-term client relationships.
• Coordinate site inspections, conduct sales and feedback with past clients, and stay ahead of market trends.
• Collaborate cross-functionally with Marketing to conceptualise and deliver social events; attend trade functions as directed.
• Lead, coach and support a small team, monitor budgets, and ensure weekend event coverage when required.

The Role

We are currently looking for a highly motivated, passionate, result driven Conference and Events Manager to join our Conference & Events team at Stamford Plaza Sydney Airport.

This role may suit a hands-on and vibrant professional in Conferencing & Events, looking to take the next step in their career path from an experienced Executive role.

Key responsibilities

• Manage Conference & Events activity and service levels within the team to ensure the successful coordination of events. This includes but not limited to the administration of inquiries, proposals, and contracts as well as record keeping, invoicing, payments, and reporting.


• Proactively manage and convert inbound enquiries into confirmed events.


• Build and maintain strong, long-term client relationships to generate repeat business.


• Coordinate and conduct site inspections when required.


• Conduct sales and feedback correspondence with past clients.


• Conduct research to identify new markets, customer needs and industry trends.


• Collaborate cross-functionally to ensure seamless event execution and service delivery.


• Proactively follows up quotes and enquires to develop business.


• Assist the Team to achieve sales targets set in conjunction with the annual budget, by converting inquiries into bookings and managing costs.


• Collaborate with Marketing and be responsible for conceptualizing and creation of social events, e.g. festive lunches, themed dining events, high tea, etc


• Attend trade functions and promotions as directed for networking opportunities.


• Keep up to date with the competitive marketplace in order to implement strategies to ensure the hotel stays ahead of the local market.


• Provide regular reports on revenues against budget, and to provide accurate forecasting.


• Close accounts in a timely manner.


• Lead, coach, and support a small team to drive performance and engagement.


• Must be available to work weekends when events are scheduled.

About You

• Tertiary qualifications in Events, Hospitality or related field (desirable).


• Minimum 2-3 years experience managing functions and events within events or hospitality industry.


• Experience in working with multiple stakeholders and managing large scare complex events.


• Excellent organisational and time management skills with ability to manage conflicting priorities.


• Strong leadership skills & visionary change agent with the ability to create and champion new business.


• Exceptional attention to detail.


• High standards of personal presentation and grooming.


• Sound knowledge of the Hospitality Industry.


• The ability to work in a fast-paced environment, under pressure and meet deadlines.


• Knowledge of Delphi Sales Force and Opera PMS systems will be an advantage.


• Must be available to work on weekend events (if required).


• Excellent written and communication skills.


• Proficiency in the use of Microsoft Office.
