Job summary

Apollo Care is seeking a Full‑Time Admissions Officer in Australia to support the admissions journey from initial enquiry to arrival. You will be the main contact for prospective residents, families and external stakeholders, coordinating documentation, waitlists and communications.

You will work with the Residential Service Manager to optimise occupancy, maintain records, and provide clear information throughout the process. A compassionate, organised approach is essential.

Qualifications

• Experience in admin, admissions or customer service, preferably in aged care.
• Experience working with residents, families and external stakeholders.
• Qualification in Business Administration or Aged Care or related field.
• Friendly, professional and compassionate communication style.
• Strong organisational and time management skills, with ability to handle multiple enquiries and admissions.
• Ability to manage confidential information and maintain privacy.
• NDIS Worker Screening Check or willingness to obtain.

Responsibilities

• Coordinate the administrative aspects of new resident admissions, ensuring documentation is complete and on time.
• Maintain and manage the resident waitlist, follow up enquiries and progress admissions.
• Build positive relationships with prospective residents and families, providing clear information and support.
• Coordinate with hospitals, health professionals, My Aged Care and other stakeholders.
• Ensure resident information, agreements and assessments are accurate and up to date.
• Support occupancy targets with the Residential Service Manager and ensure vacancies are progressed.
• Maintain accurate records and perform data entry across internal systems.
