Job summary

EssilorLuxottica’s EyeHub Clinic in Melbourne is seeking a Clinical Coordinator to deliver exceptional customer service and support efficient clinic operations from enquiry to post-operative follow up.

You will coordinate appointments, manage patient records, billing, and liaise with doctors and nurses, ensuring a seamless patient experience and accurate documentation while maintaining confidentiality.

Qualifications

• Experience in medical administration within a specialist clinic is preferred.
• Familiarity with FYDO Docs or similar practice management software is advantageous.
• Excellent communication and a patient-centric approach are essential.

Responsibilities

• Deliver exceptional patient care and be the friendly face of the clinic.
• Coordinate appointments, referrals and follow-ups from enquiry through post-operative care.
• Prepare and manage surgical quotations and bookings with clinicians and nurses.
• Maintain accurate patient records and clinical documentation with confidentiality.
• Process Medicare and private health claims, payments and receipts, and follow up on outstanding accounts.
• Support day-to-day clinic operations and maintain a professional environment.
• Collaborate with doctors, nurses and staff to ensure high-quality patient experiences.

Our Clinical Coordinator is the first point of contact for patients attending our EyeHub Clinic. This role is responsible for delivering exceptional customer service while supporting the smooth and efficient operation of the practice.

Working closely with Healthcare professionals the clinical coordinator ensures a professional patient experience from initial enquiry through to post-operative follow up.

Key Responsibilities

Deliver exceptional patient care - Be the welcoming face of the clinic, providing professional, friendly and efficient service to patients and referrers.

Coordinate appointments & referrals - Coordinate appointments, referrals, correspondence and follow-ups, ensuring every detail is organised from enquiry through to post-operative care.

Support surgical coordination - Prepare surgical quotations, coordinate bookings and work closely with specialists, nurses and external providers.

Own medical administration - Manage patient records, clinical documentation and correspondence with accuracy, confidentiality and care.

Manage billing & accounts - Process Medicare and private health claims, payments, invoicing and receipts, while confidently following up outstanding accounts.

Keep the clinic running smoothly - Support day-to-day clinic operations, including opening and closing procedures, supplies and maintaining a professional environment.

Be a trusted team player - Work independently while collaborating closely with doctors, nurses, colleagues and patients to deliver a consistently high standard of service.

About You

Previous experience in medical administration, ideally within a specialist medical practice.

Experience working with FYDO Docs or a similar medical practice management system is highly advantageous.

You’re warm, professional and confident when dealing with patients, doctors and referrers.

You’re highly organised and can juggle competing priorities without losing attention to detail.

You have strong computer skills and are confident learning and using practice management systems.

• Strong communication skills and confidence communicating face-to-face, over the phone and via email.

Most importantly, you’re someone who genuinely cares about patient experience, teamwork and doing things the right way.
