Job summary

Move and Play Paediatric Therapy is seeking a Client Services and Administration Officer to join our Mackay clinic. You will provide a friendly reception, handle scheduling, invoicing and documentation, and support families and clinicians with a warm, professional service.

You will join a collaborative, client-centered team committed to improving outcomes for children and families in our community. On-site role with on-going training and team activities.

Qualifications

  • Strong customer service and written/verbal communication skills.
  • Excellent time management and organisational abilities.
  • Experience using Microsoft Office suite (Outlook, Word, Excel).
  • Previous admin/reception experience in a health setting is preferred.

Responsibilities

  • Serve as the first point of contact for families via in-person, phone or email.
  • Manage clinician diaries, schedule appointments and coordinate services.
  • Process payments and issue invoices.
  • Handle documentation with clients and families.
  • Maintain a clean, welcoming waiting room environment.
  • Support the team with on-the-job training and mentoring.

Client Services and Administration Officer

Move and Play Paediatric Therapy – Mackay QLD

We are seeking a bright, personable and self-motivated client services and administration officer to join our dynamic and driven multidisciplinary paediatric allied health clinic in Mackay, Queensland.

About the role:

The successful applicant for this role will be joining our experienced Client Services Team, and will be responsible for providing friendly, welcoming and helpful reception, scheduling and administrative support to our valued clients.

What you will be doing:

Acting as the first point of contact when families reach out to our service

Providing excellent customer service to all our clients through all in person, phone or email contact

Management of clinician diaries, including scheduling appointments, and coordinating services for families

Building rapport and genuine positive relationships with our valued clients

Processing payments and issuing invoices for payment

Helping to manage documentation requirements with clients and families

Ensuring our waiting room experience is clean, bright and inviting for anyone who visits our clinic

You will be given training and support to understand the scope of your role and to develop the necessary knowledge and skills to be able to thrive as part of our team.

Skills and experience:

Current Working with Children Blue Card and NDIS Worker Screening (or be able to obtain)

Current First Aid & CPR (or ability to obtain)

Strong customer service and communication skills - face-to-face, telephone and written

Ability to build strong rapport with clients and families

Strong attention to detail, and take pride in quality of your work

Be proactive and self-motivated

Excellent time management and organisational skills

Experience in Microsoft Office suite including MS Outlook, Word, Excel

Previous administration and reception experience within a health practice is preferred but not required.

Knowledge of the NDIS is desirable but not essential.

We are open to applicants interested in doing a business administration traineeship.
