Job summary

RSM Australia is seeking a Client Services Administrator for the Business Advisory division to manage client communications, documents, and records. The role interfaces between clients and advisory staff to ensure timely, accurate service delivery.

The ideal candidate is highly organized, proactive and client-focused with excellent communication. This on-site role supports accounting and advisory services and involves onboarding and ongoing client support.

Responsibilities

  • Serve as the primary administrative contact for clients and provide a professional, responsive, and high-quality service experience.
  • Coordinate client communications regarding document requests, signatures, lodgements, invoices, deadlines, and compliance requirements.
  • Maintain accurate client records across all firm systems.
  • Prepare client deliverables including financial statements, tax returns, advisory reports, and supporting documentation.
  • Coordinate document execution processes including electronic signatures and client approvals.
  • Assist with ASIC and company secretarial administration activities.
  • Support archiving and records management processes.

About the role:

The Client Services Administrator plays a critical role in delivering an exceptional client experience within the Business Advisory division. Acting as a key point of contact for clients, this role is responsible for managing client communications, coordinating administrative processes, maintaining accurate client records, and supporting the efficient delivery of accounting and advisory services.

The successful candidate will be highly organised, proactive, and client-focused, with excellent communication skills and a genuine passion for building strong professional relationships. This role is ideal for someone who enjoys being the central connection between clients and advisors while ensuring all client interactions are handled professionally, accurately, and promptly.

Key Responsibilities
Client Communication & Relationship Management
  • Serve as the primary administrative contact for clients and provide a professional, responsive, and high-quality service experience.
  • Manage incoming client enquiries via phone, email, and in person, ensuring timely responses and escalation where required.
  • Coordinate client communications regarding document requests, signatures, lodgements, invoices, deadlines, and compliance requirements.
  • Build and maintain strong relationships with clients through regular communication and proactive follow-up.
  • Prepare client correspondence, engagement documentation, proposals, and service agreements.
  • Support advisors and partners in maintaining exceptional client service standards across the division.
  • Coordinate client meetings, appointments, and review sessions, including preparation of meeting packs and follow-up actions.
  • Assist with onboarding new clients and offboarding departing clients, ensuring a seamless experience.
Client Administration
  • Maintain accurate client records across all firm systems.
  • Ensure client information, contact details, and compliance documentation remain current and complete.
  • Manage electronic and physical client files in accordance with firm policies.
  • Prepare and collate client deliverables including financial statements, tax returns, advisory reports, and supporting documentation.
  • Coordinate document execution processes including electronic signatures and client approvals.
  • Assist with ASIC and company secretarial administration activities.
  • Support archiving and records management processes.
Financial Administration
  • Prepare and process invoices in a timely manner.
  • Monitor work-in-progress and assist with billing administration.
  • Follow up outstanding debtors and support collection activities in a professional manner.
  • Assist with engagement setup and maintenance within practice management systems.
  • Support monthly reporting requirements and administrative workflows.
Team & Operational Support
  • Provide administrative support to Partners, Directors, Managers, and Business Advisory teams.
  • Working with our accounting team in completion and maintenance of capacity schedules
  • Coordinate travel bookings, meeting logistics, and event administration as required.
  • Assist with proposal preparation, tenders, and business development activities.
  • Support marketing initiatives, client events, and networking activities.
  • Contribute to continuous improvement initiatives and administrative process enhancements.
  • Provide reception and office support when required.

Experience & Attributes

  • Strong Microsoft Office skills, particularly Outlook, Word, Excel, and Teams.
  • Ability to work independently and collaboratively within a team environment.
Desirable
  • Experience within accounting, professional services, legal, or financial services.
  • Experience with client onboarding and compliance processes.
  • Familiarity with ASIC administration and company secretarial requirements.
  • Experience with practice management and CRM systems.

Essential
  • Completion of Year 12.
Desirable
  • Certificate IV in Business Administration, Business Services, or a related discipline.
  • Further studies in administration, customer service, accounting, or business.
