RSM Australia is seeking a detail‑oriented coordinator to manage end-to-end client onboarding and offboarding, ensuring a seamless, compliant process. You will liaise with clients, partners, managers and external advisors while maintaining accurate records.

Ideal candidates have corporate secretarial or compliance experience, strong organisational skills and proficiency with Xero, MYOB, XPM or CAS360. This role supports finance and broader team activities in a professional services environment.

Qualifications

  • Completion of Year 12 and a Certificate in Business Administration or equivalent
  • Experience in corporate secretarial, governance or compliance roles is preferred
  • Understanding of AML/CTF, ASIC, and trust requirements is desirable

Responsibilities

  • Manage end-to-end client onboarding and offboarding processes.
  • Coordinate communications between clients, partners, managers, internal teams and external advisors.
  • Prepare and issue engagement and disengagement documentation per firm policies.
  • Complete client acceptance, AML/CTF checks, identity verification, conflict checks, ASIC checks and other compliance requirements.
  • Identify onboarding/offboarding risks and escalate when needed.
  • Set up and maintain client records in practice and document management systems.
  • Ensure client, billing, entity, compliance and ASIC information is up to date.
  • Monitor documentation and follow up with clients for timely completion.
  • Coordinate file transfers, retention, privacy and confidentiality requirements.
  • Liaise with finance regarding billing, invoices and final accounts reconciliation.
  • Provide regular status updates to stakeholders and management.
  • Support the wider team with administrative duties and document management.

About the role:

This position is responsible for coordinating the end-to-end client onboarding and client offboarding process to ensure a seamless, professional and compliant procedure.

KEY RESPONSIBILITIES:
  • Manage the end-to-end client onboarding and offboarding process, ensuring a seamless experience for clients and internal stakeholders.
  • Coordinate communications between clients, partners, managers, internal teams, and external advisors.
  • Prepare and issue engagement and disengagement documentation in line with firm policies and procedures.
  • Complete client acceptance, AML/CTF, identity verification, conflict checks, ASIC checks, and other compliance requirements.
  • Identify, document, and escalation onboarding or offboarding risks where required.
  • Set up, maintain, transfer, and archive client records within practice management and document management systems.
  • Ensure client, billing, entity, compliance, and ASIC information is accurate and up to date.
  • Monitor outstanding documentation and follow up with clients to support timely completion of onboarding and offboarding activities.
  • Coordinate file transfers, record retention, privacy, and confidentiality requirements.
  • Liaise with finance teams regarding billing, outstanding invoices, and final account reconciliation.
  • Provide regular status updates and reporting to stakeholders and management.
  • Support the wider team with general administrative duties, including document management, database maintenance, and ad hoc Professional Support Group activities.
About you:
EDUCATION REQUIREMENTS:
  • Completion of Year 12
  • Certificate in Business Administration
DEMONSTRATED EXPERIENCE & ATTRIBUTES:
  • Significant experience in a corporate secretarial, corporate governance or compliance role (professional services experience highly regarded)
  • Administrative or client service experience (public accounting/professional services preferred)
  • Understanding of the Corporations Act, ASIC and Trust requirements
  • Understanding of AML/CTF compliance and legislation
  • Highly organised and collaborative, with the ability to manage competing priorities and work autonomously in a fast-paced environment
  • Excellent communication and stakeholder management skills
  • High attention to detail, accuracy, and confidentiality
  • Excellent organisational skills with a high level of ownership and accountability
  • Confident written and verbal communicator
  • Experience with Xero, MYOB, APS or XPM and CAS360
  • Understanding of ATO online services and public practice workflows
