Job summary

The Royal Australasian College of Physicians (RACP) is seeking an experienced administrator to support the Overseas Trained Physicians (OTPs) program. You will manage casework, support approvals, and coordinate process improvements for SIMG assessments and short-term training pathways.

Working in a hybrid Sydney-based team, you will liaise with employers, regulators and OTP Committee members, ensuring timely, compliant outcomes and robust data management across the program.

Responsibilities

  • Support complex cases and approvals with peers and managers.
  • Contribute to data collection and reporting, including updating databases to ensure transparency.

Job Description

The Overseas Trained Physicians (OTPs) are medical professionals who have received their medical education and training outside of the country where they intend to practice. Overseas specialists in Australia can access short-term specialist training and specialist assessment. In NZ overseas specialists can access vocational registration. At RACP this program is responsible for the strategic management of OTP from a program development and program delivery perspective.

The primary purpose of the role is to facilitate the effective case management, administration and continuous improvement of procedures and processes to support specialist assessment of SIMGs ensuring consistency of approach to assessment and decision making. Support case management of short-term specialist training applications as required.

Duties Include
  • Provide timely and clear management and advise on compliance and case management with relevant policy, procedure and processes for the specialist assessment of SIMGs and/or those on the short term training pathway.
  • -Effectively and professionally communicate with employers, regulators and OTP Committee members.
  • -Support line manager and peers on complex cases and approvals.
  • -Facilitate and progress data collection/management and reporting including updating databases and spreadsheets with information on applicants, to ensure transparency of the team’s operations and to identify opportunities for improvement.
  • -Contribute to team projects and initiatives as needed.
  • -Communicate effectively with OTP applicants or those on the short term training pathway including timely and clear advice on compliance with relevant policy, procedure and processes for their assessment.
  • - Case management of OTP applicants and those on the short term training pathway, including data collection and management, reporting, updating relevant information, and monitoring decisions.
  • - Provide administrative support to the team.
  • - Provide secretariat support to committees.
  • - Any other tasks or projects as directed by the manager.
Desired Skills And Experience
The successful candidate will have:
  • Tertiary qualification in education or a related field
  • Relevant experience and/or understanding of the education and health environment.
  • Experience and/or knowledge of international assessment processes and qualifications.
  • Experience working with committees or volunteer professionals.
  • Experience with case management
  • Demonstrated capacity to quickly understand and operate in a complex environment
  • Commitment to delivering high quality outcomes
  • Capability to take initiative and implement process change
  • Ability to provide robust advice to senior internal and external stakeholders based on information gathering, analysis and sound reasoning skills
  • Assessment of applications in regulatory or rules- based assessment setting
  • Excellent written and communication skills
  • Strong relationship-building skills
  • Ability to represent the OTP Team at meetings and in communications as required and appropriate
  • Understanding of the role of the Medical Board of Australia in regulating health professionals
