JLL in Melbourne is seeking a Car Park and Workplace Coordinator to deliver smooth car park and workplace operations for clients and employees. You will handle parking programs, permits, invoicing, mail services, and site services with a focus on service quality.

You will work with cross-functional teams, vendors and building management, conduct floor inspections, support asset management, and help create an engaging, well-maintained office environment that reflects JLL's Brighter Way ethos.

As a Car Park and Workplace Coordinator at JLL, you'll be at the heart of creating exceptional workplace and car park management experiences for our clients and their employees. This role combines hands-on operational management with community-building initiatives, ensuring every aspect of both car park and workplace runs smoothly and professionally. You'll oversee car parking management from permit processing through to monthly financial reporting, while also supporting day-to-day workplace operations including mail services, locker allocations, vendor coordination, and event support. Your attention to detail and customer-focused approach will be essential as you manage inquiries, resolve escalations, conduct floor inspections, and support the initiatives that foster community and connectivity across the workplace. An overview of the role:

• Car Parking Management - Operational administrative rolefocused on managing all aspects of employee parking programs, combining customer service, financial administration, and vendor coordination responsibilities.
• Process, review, and approve parking permits for eligible employees while managing customer inquiries, escalations, violation appeals, and monthly invoicing with accurate financial reporting
• Support general employee enquiries across multiple channels including in person, ServiceNow, Microsoft Teams, and Outlook, while managing mail room operations, courier requests, and stock management
• Oversee locker allocations, conduct regular audits, and coordinate with the Workplace team to manage vendor operations for soft services including cleaning, handyperson, concierge, and mailroom
• Conduct regular floor inspections to identify maintenance needs and coordinate prompt resolution with relevant stakeholders, while supporting PC and mobile asset management for onboarding and offboarding employees
• Provide event support by coordinating room and event space bookings, ordering catering as required, and working with stakeholders to ensure spaces are set up appropriately while maintaining comprehensive day-to-day office operations

• Prior relevant experience in hospitality, workplace operations, or office operations environments with strong organizational skills and attention to detail
• Exceptional customer service skills and professionalism, with a genuine passion for hospitality and creating positive workplace experiences in fast-paced environments
• Ability to work independently while being highly collaborative as part of a wider team, with strong written and verbal communication skills and confidence engaging across a wide range of stakeholders
• Familiarity with workplace technology and systems including ticket management tools, Microsoft Suite (Excel, Word, etc.), booking platforms, and collaboration tools
• Demonstrated adaptability and effective problem-solving skills, with ability to proactively identify areas for improvement and address them, plus experience managing car parking operations and vendor coordination (preferred)
