Job summary

ActivateUTS is seeking an experienced Event Lead for a 10-month fixed-term maternity cover based on the UTS City Campus in Ultimo. You will plan and deliver high-impact events across the annual calendar, including O’Day, O’Fest, Weeks of Action, and Awards Dinners, while guiding a small event team and coordinating with marketing for campaigns.

You will manage budgets, track KPIs, and produce post-event analyses to continually elevate the student experience.

Qualifications

• Minimum 4+ years’ experience in an events role, with a strong track record of delivering large-scale events.
• Tertiary qualifications in events, marketing, communications or a related field.
• Demonstrated experience in strategic event planning, execution and post-event evaluation.
• Excellent stakeholder engagement and interpersonal communication skills.
• Proven leadership skills in managing volunteers and junior team members.
• Ability to work under pressure and manage multiple priorities with strong attention to detail.
• Legal right to work in Australia and the ability to meet ActivateUTS compliance requirements.

Responsibilities

• Lead the planning and execution of key ActivateUTS events across the annual calendar.
• Develop and implement detailed event strategies and plans in collaboration with the Head of Student Life & Sport Marketing and the broader Student Life and Marketing team.
• Own the annual events portfolio and calendar, providing oversight, strategic planning and prioritisation across major and minor events.
• Set, track and report against event KPIs and budgets, owning post-event analysis and continuous improvement across the portfolio.
• Coordinate and supervise casual event staff and junior event resources across the events calendar.
• Deliver end-to-end event execution, including logistics, production, vendor coordination, catering, AV and styling.
• Prepare detailed event documentation, including run sheets, risk assessments and budgets.
• Identify opportunities to enhance existing events and integrate UTS and club-led initiatives to increase engagement.
• Maintain strong relationships with UTS departments to drive collaboration.
• Oversee production of branded event collateral, ensuring sustainability and brand alignment.
• Collaborate with the marketing team to design promotional campaigns and track event KPIs.
• Post-Event Analysis and Reporting: Develop and distribute post-event surveys to gather meaningful feedback.
• Analyse event data to generate actionable insights and inform continuous improvement.
• Report on event outcomes and budget performance, ensuring accountability and alignment with targets.
