Job summary

Australian Government program is seeking a Program Secretariat Officer to provide governance and secretariat support to senior leadership. You will coordinate governance forums, maintain records, and support reporting, enabling timely decision-making.

The ideal candidate has APS program secretariat experience, strong organizational and communication skills, and the ability to manage multiple priorities in a dynamic environment; Baseline Security Clearance is required.

Qualifications

  • Previous APS experience in program secretariat support.
  • Strong organisational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • The ability to manage competing priorities and meet deadlines in a dynamic environment.
  • Strong stakeholder engagement and relationship-building capabilities.
  • Experience preparing reports, briefing materials and governance documentation.
  • A proactive, solutions-focused approach with the ability to work independently and collaboratively.
  • Proficiency across the Microsoft Office Suite and familiarity with project management tools.

Responsibilities

  • Coordinating governance meetings, including agendas, meeting papers and meeting packs.
  • Recording and distributing accurate minutes, decisions and action items.
  • Managing meeting logistics and stakeholder communications.
  • Maintaining governance documentation, registers and records.
  • Supporting program reporting, administrative activities and document preparation.
  • Assisting with the development and maintenance of work schedules, forward plans and calendars.
  • Monitoring and escalating program risks where required.
  • Supporting onboarding and capability uplift activities for new team members.
  • Assisting with the development of governance frameworks, terms of reference and operating procedures.
  • Building strong working relationships across program teams and key stakeholders.

Working within a complex and fast-paced environment, you will play a key role in supporting governance, program coordination, and executive decision-making processes that contribute to important national outcomes.

Your new role

As the Program Secretariat Officer, you will provide high-quality governance and secretariat support to senior program leadership and governance bodies.
