Job summary

Hooker & Heijden is seeking an Agency Administrator / EA to Head of Agencies in Melbourne to support the growth of the broker panel and the administration behind the agency’s distribution.

You’ll onboard brokers, manage platform access, send welcome packs and essential documents, keep the broker database current, prepare the monthly bordereau, handle broker inquiries, and support the Head of Agencies’ diary and strategy.

Qualifications

• Broker onboarding or distribution administration experience
• Experience with bordereaux, broker portals or policy systems
• EA or executive support experience

Responsibilities

• Onboarding brokerages and users, including platform logins, access and password support
• Sending welcome packs, PDS, TMD and reference material to brokers
• Keeping the broker database current as broker staff join, leave and move
• Preparing the monthly insurer bordereau
• Handling broker enquiries and escalations
• Supporting the Head of Agencies' diary and distribution strategy

About the Organisation

Our client is an established Melbourne-based underwriting agency, writing personal lines business through brokers on behalf of an insurer partner.

The business is growing and is adding to its underwriting and broker support team.

About the Role

You’ll run the administration behind the agency’s broker distribution as its broker panel grows.

You’ll also act as EA to the Head of Agencies.

Responsibilities include:

• Onboarding brokerages and users, including platform logins, access and password support


• Sending welcome packs, PDS, TMD and reference material to brokers


• Keeping the broker database current as broker staff join, leave and move


• Preparing the monthly insurer bordereau


• Handling broker enquiries and escalations


• Supporting the Head of Agencies' diary and distribution strategy

About You

You’ve held a similar role at an underwriting agency or insurer. You’re highly organised with strong attention to detail.

Ideally you’ll bring:

• Broker onboarding or distribution administration experience


• Experience with bordereaux, broker portals or policy systems


• EA or executive support experience
