MBC Group Services is seeking a highly organized administrator to support client experience and operations in a growing accounting firm located in NSW.

You will implement efficient cloud-based workflows using Xero, FYI, CAS 360 and DocuSign, helping to improve processes and client experience while developing your career within a collaborative team.

Qualifications

  • Experience in administration within accounting or professional services is preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.

Responsibilities

  • Serve as a key contact for clients, handling phone and email enquiries and reception duties.
  • Collect and organise client information to support accounting, bookkeeping and SMSF teams.
  • Coordinate meetings, manage diaries and schedule appointments.
  • Prepare, distribute and lodge documents and reports.
  • Maintain accurate records across FYI, Xero, CAS 360 and DocuSign.
  • Support compliance processes such as ASIC renewals and audit administration.
  • Assist with general office coordination and administration tasks.
  • Support marketing activities including events, social media and promotions.
  • Manage competing priorities to ensure deadlines and workflows stay on track.
  • Contribute to process improvements and support a positive team culture.

Your Role

As a key member of our Client Services team, you will play an important role in keeping the business running smoothly and delivering a high-quality client experience. Your responsibilities will include:

  • Acting as a key point of contact for clients, including managing phone and email enquiries/reception duties and creating a professional and supportive experience.
  • Collecting and organising client information to support Accounting, Bookkeeping and SMSF teams.
  • Coordinating meetings, managing diaries and scheduling appointments.
  • Preparing, distributing and lodging documents and reports.
  • Maintaining accurate records across systems including FYI, Xero, CAS 360 and DocuSign.
  • Supporting compliance processes such as ASIC renewals and audit administration.
  • Assisting with general office coordination, including maintenance and administration tasks.
  • Assisting with marketing activities, including events, social media and promotional opportunities.
  • Managing competing priorities and ensuring deadlines and workflows stay on track.
  • Contributing to process improvements and supporting a positive, professional team culture.
What You Bring
  • Strong administration experience (experience in an accounting or professional services firm highly regarded).
  • Confidence interacting with clients, both in person and across phone and email.
  • Excellent organisation skills with the ability to manage multiple priorities and deadlines.
  • High attention to detail and a proactive, solutions-focused approach.
  • Strong communication skills and the ability to work across multiple teams.
  • Strong digital literacy and confidence learning new systems, with an interest in technology-enabled ways of working (experience with Xero, FYI, CAS 360 is desirable).
  • A positive, professional attitude and willingness to support team success.
  • A genuine interest in building a long-term career in administration, with strong potential for future growth.
  • Formal qualifications are not essential; however, a Cert III or IV in Business Administration is advantageous.
  • Full Australian working rights.
  • Drivers license required.
