Job summary

Women’s and Children’s Health Network in Adelaide is seeking a part-time Administrative Assistant to provide high-level clerical and reception support to the Paediatric Medicine department, ensuring accurate patient records, referrals, and clinic bookings.

The role requires demonstrated admin experience, proficiency with Word, Excel and Outlook, and strong confidentiality, organisation and communication skills. 0.8 FTE and a competitive salary package are offered.

Qualifications

  • Demonstrated administrative/clerical experience, including providing support to senior staff.
  • Proficiency in Microsoft Office applications, including Word, Excel and Outlook.
  • Ability to communicate effectively and maintain confidentiality when dealing with sensitive information.
  • Demonstrated organisational, time management and prioritisation skills, with the ability to work independently and meet deadlines.
  • Knowledge of office procedures and medical terminology.

Responsibilities

  • Provide day to day, high level administrative and reception support services to the Department.
  • Processing, managing, and maintaining all private and public referrals. Ensure referrals are compliant. Process MBS billing and cash receipts of any gap payments.
  • Ensuring the maintenance of confidential patient Unit Records by accurate filing of reports, results and tracking to the appropriate departments. Also checking name labels and continuation sheets are included.
  • Maintain adequate supply of office materials and equipment by ordering items in line with purchasing procedures.
  • Assist in the provision of quality improvement by taking a leadership role in quality control reviews and improvement programs.

About the role

The Administrative Assistant provides high-level administrative and reception support to the Department, ensuring accurate and timely clerical and patient-related documentation. The role supports effective patient care management through the maintenance of accurate records, booking lists and outpatient clinic bookings.
