Job summary

Women’s and Children’s Health Network (WCHN) in Adelaide CBD is seeking an Administrative Assistant to provide high‑level administrative and reception support to the Department. The role ensures accurate patient documentation, booking lists and outpatient clinic bookings, while maintaining confidentiality and efficient workflow.

Key duties include managing referrals, processing MBS billing, maintaining confidential unit records, and ordering office supplies.

Qualifications

  • Demonstrated administrative/clerical experience.
  • Demonstrated proficiency in Microsoft Office applications, including Word, Excel and Outlook.
  • Demonstrated ability to communicate effectively and maintain confidentiality when dealing with sensitive information.
  • Demonstrated organisational, time management and prioritisation skills, with the ability to work independently and meet deadlines.
  • Knowledge of office procedures and medical terminology.

Responsibilities

  • Provide high-level administrative and reception support to the Department.
  • Manage referrals, including MBS billing and cash receipts for gaps.
  • Maintain confidential patient unit records and accurate filing of reports and results.
  • Maintain office supply inventory and order as per purchasing procedures.
  • Support quality improvement through leadership in reviews and improvement programs.

About the role

The Administrative Assistant provides high-level administrative and reception support to the Department, ensuring accurate and timely clerical and patient-related documentation. The role supports effective patient care management through the maintenance of accurate records, booking lists and outpatient clinic bookings.

Key duties of the role
  • Ensure day to day, high level administrative and reception support services are provided to the Department
  • Processing, managing, and maintaining all private and public referrals. Ensure referrals are compliant. Process MBS billing and cash receipts of any gap payments
  • Ensuring the maintenance of confidential patient Unit Records by accurate filing of reports, results and tracking to the appropriate departments. Also checking name labels and continuation sheets are included
  • Maintain adequate supply of office materials and equipment by ordering items in line with purchasing procedures
  • Assist in the provision of quality improvement by taking a leadership role in quality control reviews and improvement programs
Skills and Experience
  • Demonstrated administrative/clerical experience, including providing support to senior staff
  • Demonstrated proficiency in Microsoft Office applications, including Word, Excel and Outlook
  • Demonstrated ability to communicate effectively and maintain confidentiality when dealing with sensitive information
