Job summary

Moira Shire Council is seeking an Administration Support Officer – Recovery and Resilience (part-time, temporary). The role provides administrative support to the Recovery and Resilience team, assists with events, reports, and customer enquiries in a vibrant regional community along the Murray River.

The successful candidate will have prior admin/reception experience, strong IT and customer service skills, and the ability to manage multiple tasks with stakeholders across Cobram, Numurkah,

Qualifications

  • Experience in administration or reception roles with strong customer service.
  • Ability to use standard IT systems and produce reports.
  • Demonstrated communication and organisation skills.

Responsibilities

  • Provide administrative support to the Recovery and Resilience team.
  • Coordinate bookings, logistics and promotional materials for events.
  • Maintain records and generate timely reports for Council and State Government.
  • Respond to inquiries and assist with budget monitoring and payments.
  • Attend meetings, take minutes, and support newsletter distribution.

Role until 30 June 2028. 18 hours per week, Monday-Friday, with exact days and start and finish times to be decided in collaboration with the successful applicant.

Key Responsibilities and Functions
  • To provide administrative support duties for the Recovery and Resilience team.
  • Support the Coordinator and other officers to enable effective time management and prioritisation of workloads.
  • Provide administrative support with the planning, coordination and delivery of recovery and resilience events, including bookings, logistics, promotional materials and liaison with event organisers and stakeholders
  • To maintain records and provide timely production of reports for Council and State Government
  • To provide an effective customer service and point of contact for fire affected and general enquiries and receive, assess and initiate action on enquiries and requests.
  • Assist in the management and maintenance of databases and websites
  • Respond to routine correspondence on behalf of the Coordinator and undertake follow-up action onoutstanding correspondence or reports.
  • Prepare for, attend and take minutes and notes of meetings as required.
  • Support the team in achieving the Post Event Recovery Action Plan actions and objectives of other relevant Council plans and strategies.
  • Assist in monitoring of unit budgets and preparation of financial payments and reporting.
  • Assist in administration of Community Grant Proposals and assist community organisations and groups where required.
  • Assist in the preparation and distribution of the community recovery newsletter
  • Assist and monitor the Recovery email account and respond or coordinate timely responses
  • Assist with recovery and resilience events, activities and programs,

At times there will be a requirement to work after hours and on weekends to assist with events and programs the Recovery and Resilience team will deliver.

Key Selection Criteria
  • Relevant experience in an administration/reception
  • An understanding of services provided by Council’s Recovery and Resilience Department.
  • Highly developed computer skills and ability to support other Council Officers in IT systems.
  • Excellent communication (oral and written) and interpersonal skills including the ability to communicate effectively with the public by displaying a high commitment to customer service skills.
  • Demonstrated aptitude to resolve problems and think critically.
Essential qualifications and experience
  • Relevant and demonstrable experience in a previous Administration/ Reception role.
  • Demonstrated strong customer service and IT Skills.
Desirable qualifications and experience

Knowledge and understanding of the local government operating environment and the delivery of services.
