Wodonga Senior Secondary College is seeking an Administration Support – Front Reception to provide a professional first point of contact and deliver a broad range of administrative services across staff, students and parents.

Responsibilities

  • Administration Support and front reception duties, including answering phone and responding to queries.
  • Passtab management including sign-in process and quickpins.
  • Photocopying, scanning, filing, emailing, laminating and faxing documents.
  • SIMs administration including student timetables, GPA reports and absences.
  • Maintain keys and key register/FOB; update staff training register.
  • Ensure enrolment packs and staff induction packs are up to date; verify enrolment and Centrelink letters.
  • Sort mail and deliver to staff pigeon holes; organise mail-outs and labels.
  • Process lunch and student session passes and ID cards; assist with facilities hire.
  • Assist in office administration duties including cash handling and EFTPOS transactions.
  • Set up and take bookings for events; liaise with staff, councillors, students, parents and external providers.
  • Perform other duties directed by Business Manager and Office Manager; support bus scheduling for the Wodonga Network.

Job description

The purpose of the Administration Support – Front Reception is to deliver a professional first point of contact for the College and is responsible for providing administrative services across a broad range of activities to staff, students and parents, ensuring efficient operation of day-to-day activities.

Key Tasks
  • Administration Support
  • Front reception counter – answering phone, responding to all queries
  • Passtab – including management of sign-in process and quickpins
  • Photocopying, scanning, filing, emailing, laminating and faxing of documents

  • Maintain keys and key register/FOB
  • Updating of staff training register
  • Ensure that all student enrolment packs and staff induction packs are compiled and up to date
  • Verification of enrolment and centrelink letters
  • Sort outgoing and incoming mail and deliver mail and messages to staff pigeon holes promptly
  • Mail-outs – organising labels and distribution of various correspondence
  • Processing of lunch and student session passes and ID cards
  • Assist with hire of College facilities
  • Assist in office administration duties including cash handling and EFTPOS transactions
  • Setting up and taking of bookings for events
  • Liaise with staff, school councillors, students, parents, service providers and Government Departments
  • Perform other duties as directed by Business Manager and Office Manager
  • All administration duties for the entirety of the Wodonga Network’s bus scheduling, including issuing passes, issue resolution and dissemination of information to all relevant parties
  • Coordination of chartered bus services, working with a high level of communication, and interpersonal skills with an ability to interact constructively and collaboratively with all staff, parents, students, external bus providers, and departmental staff
  • Monitoring of daily bus routes including following up to understand exceptions i.e wrong stops, route deviations, delays, travel without pass etc
  • Providing emergency management assistance in the event of road closure/natural disaster
  • Processing new bus enrolments and allocating new students
  • Distribute information to families and client schools about SBP services running in the area
