Job summary

MLHD invites applications from detail-driven administration professionals to join our Hay-based team as an Administration Officer – Level 3. You will deliver high-quality customer service to patients and staff while handling clerical tasks in the Microsoft Office suite and supporting admissions and record management.

This Permanent Part Time position (3 shifts per fortnight) and Casual offers pro-rata pay and NSW Health benefits. Applications close 23 September 2026.

Qualifications

  • Experience working in a similar support role in a complex organisation.
  • Sound judgement in prioritising work to achieve key tasks in a busy environment.
  • Effective communication with managers, colleagues and the public, with strong attention to detail.
  • Proficiency with Microsoft and Windows-based applications, email systems, and record-keeping systems.
  • Commitment to patient privacy and confidentiality.
  • Ability to work with initiative under broad supervision.

Responsibilities

  • Provide high quality customer service to patients, employees and members of the public.
  • Complete clerical tasks using the Microsoft Suite to support department operations, including admissions, transfers and discharges, record management, and scheduling.
  • Assist with more complex tasks or projects and provide relief for other staff as required.
  • Plan and prepare appointments and communicate with the team leader daily.
  • Work according to established work practices and procedures under general instruction.
  • Collaborate with the multidisciplinary team with flexibility and initiative.

About The Opportunity

As the Administration Officer, you will be responsible for:

  • Providing high quality customer service to patients, employees and members of the public, including responding respectfully and helpfully to all face-to-face and telephone enquiries.
  • Completing a range of operational, clerical and administrative tasks using the Microsoft Suite of applications (including Excel and Teams) to support the smooth running of the department, including assisting with admissions, transfers and discharges, record management, booking services and appointments, managing correspondence, filing, typing, deliveries, pickups, purchasing and stores management.
  • Providing assistance with more complex tasks or projects, and providing relief for other staff as required, to support efficiency and quality within the service and team.
  • Planning and preparing appointments and communicating clearly with the team leader daily.
  • Performing according to established work practices and procedures, working under general instruction and broad supervision.
  • Working collaboratively with the multidisciplinary team, demonstrating flexibility, initiative and a commitment to customer service excellence.

  • Effective communication skills across a wide range of stakeholders, including managers, colleagues and members of the public, with strong attention to detail.
  • Demonstrated high-level computer skills, including proficiency with Microsoft and Windows-based applications, email systems, and/or other information and record-keeping systems.
  • An understanding of, and commitment to, providing excellent customer service, including the maintenance of patient privacy and confidentiality.
  • Demonstrated ability to show initiative with known work procedures, and the ability to work effectively under broad supervision.
