Job summary

Hunter New England Health's North West Cancer Centre in Tamworth Hospital is seeking an Administration Officer to join our busy team. The role supports patient-centred care by delivering professional front-line service by phone, email and in person, and by managing appointments and patient records.

With a focus on accuracy, friendly service and teamwork, you will handle referrals, billing support and coordination across outpatient services, helping patients and families access care efficiently.

Responsibilities

  • Provide consistent, high quality customer service as a person of first contact including, telephone, email enquiries and personal contact with clients.
  • Action incoming referrals and booking of appointments.
  • Prepare billing, data reports and correspondence as required.
  • Analyse and coordinate all correspondence (including, incoming and outgoing mail, briefings, telephone calls and emails as appropriate) for action, utilising appropriate tracking systems and deadlines to ensure matters are dealt with in regard to importance, priority and urgency.
  • Provide support to data entry and record keeping.
  • Supporting efficient patient flow across outpatient services.
  • Communicating effectively with patients, families, carers and healthcare professionals.
  • Working collaboratively with clinical and administrative teams to support the smooth coordination of outpatient services.

You will play an important role in supporting the delivery of high-quality, patient-centred care and helping patients and families access outpatient services efficiently.

About the team

The North West Cancer Centre team works collaboratively with multidisciplinary clinical staff to support a high volume of outpatient clinics. The team provides comprehensive administrative services that help ensure efficient patient flow, coordinated appointments and accurate clinical documentation.

With a strong focus on customer service, our administration team plays a key role in facilitating timely access to care and creating a positive experience for patients, families, carers and healthcare providers.

About the role

As an Administration Officer, you will be an important first point of contact for patients and healthcare providers, providing professional and compassionate customer service by telephone, email and in person.

Your responsibilities will include:

  • Provide consistent, high quality customer service as a person of first contact including, telephone, email enquiries and personal contact with clients.
  • Action incoming referrals and booking of appointments.

Support and development

You will be supported by the Administration Manager who will provide guidance regarding procedures and protocols. You will also receive on-the-job training and support from experienced team members as you develop your knowledge and confidence in the role.

Within your first three months, you will have the opportunity to work with your manager to develop an individual training and development plan to support your ongoing learning and professional growth.
