Job summary

UnitingCare Queensland is seeking a site-based Administration Officer to support the HOPES and Pathways to Grow programs in Southport. The role provides administrative, financial and reception support, reporting to the Service Leader, and balancing priorities with discretion.

Key responsibilities include diary coordination, document preparation, accounts processing and data management, with a focus on efficient, compliant processes and excellent stakeholder communication.

Qualifications

  • Certificate IV in Business Administration, Event Management or a related qualification.
  • At least two years’ administration experience supporting management.
  • Advanced Microsoft 365 skills and confidence with business systems.

Responsibilities

  • Coordinate diaries, appointments, travel, meetings and site activities.
  • Prepare correspondence, reports, minutes and presentations.
  • Process accounts, reconciliations, purchasing and routine financial records.
  • Maintain databases, registers and records; liaise with internal teams and suppliers.
  • Manage reception and handle routine enquiries with professionalism.
  • Support compliant processes and document control.

Your part in our UnitingCare team

We are seeking a site-based Administration Officer to provide administrative, financial, operational and reception support to our HOPES and Pathways to Grow programs in Southport.

Reporting to the Service Leader, you’ll support service delivery, manage priorities independently and handle sensitive information with discretion.

Key responsibilities include:
  • Coordinate diaries, appointments, travel, meetings, workshops and site activities.
  • Prepare correspondence, reports, minutes, presentations and other documents.
  • Process accounts, reconciliations, procurement cards, supplies and routine financial records.
  • Maintain databases, registers, statistics and records.
  • Liaise with internal teams, suppliers and service providers on facilities, fleet, technology, travel and safety requirements.
  • Manage reception and routine enquiries, and support efficient, compliant processes.
What makes a difference for us?
  • Certificate IV in Business Administration, Event Management or a related qualification.
  • At least two years’ administration experience supporting management.
  • Advanced Microsoft 365 skills and confidence using business systems and databases.
  • Experience with reconciliations, purchasing and accounts processing.
  • Strong organisation, communication, attention to detail and stakeholder skills.
  • Sound judgement and the ability to manage competing priorities in a fast-paced environment.
  • Current Queensland Driver License
  • Current Working with Children Check (Blue Card) or eligibility to obtain one before commencement.
  • Experience supporting vulnerable children and families, with knowledge of the Child Safety system would be highly regarded.
