Job summary

Aeralife Watergardens in Victoria is seeking a permanent part-time Administration Officer to deliver high-level administrative and clerical support within a busy aged care community.

You will manage reception, enquiries, resident admissions and records, and work with staff, residents and families to ensure compliant, smooth operations. This role offers a stable schedule Monday to Wednesday with potential for additional hours.

Qualifications

  • Previous administration, reception or customer service experience.
  • Strong computer and word processing skills.
  • Excellent communication and interpersonal skills.
  • High attention to detail and strong organisational ability.
  • Experience managing confidential information with professionalism.
  • Ability to work independently while contributing to a team.
  • Availability to work Monday, Tuesday and Wednesday each week.
  • NDIS Worker Screening Check.
  • Current COVID-19 vaccinations (highly recommended).

Administration Officer

The Administration Officer is responsible for providing high-level administrative and clerical support to ensure the smooth operation of the Aeralife Watergardens. This role plays a critical part in ensuring compliance, efficient resident admissions, and effective communication between staff, residents, families, and external stakeholders.

The Opportunity on Offer

The Administration Officer plays a key role in supporting the efficient and compliant operation of our aged care community by delivering high-quality administrative and clerical services. This position is responsible for managing reception duties and enquiries, coordinating resident admissions and discharges, maintaining accurate records and data systems, and providing exceptional support to residents, families, visitors and staff.

This is a permanent part-time opportunity working Monday, Tuesday and Wednesday each week at Aeralife Watergardens. The role offers consistency, stability and the opportunity to become a valued member of our close-knit team, with potential for additional hours or full-time opportunities in the future based on organisational needs and performance.

How you will make an Impact
  • Maintaining a friendly, helpful manner with consumers, visitors and other staff.
  • Proactively trying to resolve concerns, complaints or suggestions of consumers and family/visitors.
  • Complete all administrative tasks promptly with accuracy of detail.
  • Completing and maintaining ongoing scheduled routines.
  • Accurate administration of all cash transactions and POS machine.
  • Following established protocols and document control.
  • Word processing documents, reports and letters as required.
  • Assists with annual stock take and maintaining an up-to-date asset register
  • Complete all financial procedures promptly with accuracy of detail.
  • Ability to implement work with regard to all the Accreditation Standards.
