Job summary

The Administration Officer role at Women’s and Children’s Health Network (WCHN) supports the PIMHS-Liaison Service at the Women’s & Children’s Hospital, providing reception duties and efficient admin support.

Qualifications

  • Ability to use initiative, manage and prioritise own workload, work under general direction and meet agreed timelines and objectives.
  • Demonstrated experience in dealing with highly confidential and sensitive information and the provision of high-quality customer service.
  • Demonstrated ability to utilise a variety of computer software applications including MS Office Suite, Basic skills in Excel.
  • Knowledge of administration procedures and systems including procurement processes.

Responsibilities

  • Record personal, sensitive and confidential information of clients referred to the service and confirm appointment letters.
  • Attend meetings, prepare and distribute agendas, take minutes and follow up on matters.
  • Ensure effective ordering, monitoring and reporting of resources including equipment and services.
  • Contribute to a team environment that promotes positivity, learning, safety and welfare of employees.

About the role

The Administration Officer is responsible for the provision of customer focussed reception duties and effective and efficient administrative support for the PIMHS-Liaison Service based at the Women’s & Children’s Hospital

Key duties of the role

  • Responsible for the recording of personal, sensitive and confidential information of clients who are referred to the service either by phone or face to face contact, ensuring appropriate confirmation of appointment letters are sent.
  • Attend meetings, prepare and distribute agendas, take minutes and attend to any matters requiring follow up.
  • Ensure effective ordering, monitoring and reporting of resources including equipment and services.
  • Contribute to a team environment which promotes positivity, learning and development, safety and welfare of employees, acknowledges differences and encourages creativity, innovation and honesty.

Skills and Experience

  • Ability to use initiative, manage and prioritise own workload, work under general direction and meet agreed timelines and objectives.
  • Demonstrated experience in dealing with highly confidential and sensitive information and the provision of high-quality customer service.
