Job summary

Moore Australia in Brisbane is seeking an Administration Assistant to support the administration of our practice management platform and manage client and employee data. The role focuses on data accuracy, system reliability and efficient business operations in a professional services environment.

You will work with Partners and Managers to ensure compliance, workflows and reporting run smoothly, with opportunities for flexible work arrangements and career progression within a supportive team.

Qualifications

  • Experience in administration, operations, practice management or systems coordination is desirable.
  • Strong data accuracy and records management skills.
  • Excellent organisational and time management abilities.

Responsibilities

  • Administer and maintain practice management systems with focus on data accuracy and reliability.
  • Manage employee lifecycle administration including onboarding and offboarding.
  • Maintain client data integrity and ongoing data quality reviews.
  • Support system upgrades, testing, configuration changes and continuous improvement.
  • Provide admin support for compliance, AML, risk management and regulatory processes.
  • Assist with workflow, reporting, billing and general practice operations.

Introduction:

Our Brisbane team is seeking a highly organised and detail-oriented Administration Assistant to support the effective administration of our practice management platform and the integrity of our client and employee data.

This role is responsible for the ongoing management of our practice management systems, client and personnel records, operational support processes, and administrative compliance activities. Acting as a key support function across the firm, you will work closely with Partners, Managers, and support teams to ensure data accuracy, system reliability, and efficient business operations.

Key Responsibilities:
  • Administer and maintain practice management systems, ensuring accuracy, reliability, and efficient operation
  • Manage employee lifecycle administration, including onboarding, offboarding, personnel record maintenance, and workforce data updates
  • Maintain the integrity of client data, including client setup, amendments, archiving, and ongoing data quality reviews
  • Support system upgrades, testing, configuration changes, and continuous improvement initiatives across practice management platforms
  • Provide administrative support for compliance, AML, risk management, and regulatory processes
  • Assist with workflow management, reporting, billing administration, and practice operations to support business performance
  • Deliver high-quality administrative and operational support to Partners and staff, contributing to the smooth day-to-day running of the firm
About You:
  • Experience in administration, operations, practice management, or systems coordination roles (desirable)
  • Strong attention to detail with a proven ability to maintain accurate data and records
  • Excellent organisational and time management skills, with the ability to manage competing priorities
  • Strong problem-solving skills and confidence learning new systems and processes
  • Proficient in Microsoft Office applications, particularly Excel and Outlook
  • Experience with Practice Management or similar business systems within a professional services environment is highly regarded
