Job summary

Superior Care Solutions is seeking a reliable administrative support person to keep our Sydney office running smoothly. You’ll answer phones, manage files, perform data entry, and assist with NDIS claiming and rostering, while maintaining confidentiality.

In addition, you’ll help maintain records, policies and audit-trail documentation to meet NDIS Quality & Safeguards requirements. Previous reception or admin experience is valued.

Qualifications

  • NDIS Worker Screening Check required.
  • First Aid and CPR certifications.
  • WWCC (Working With Children Check) completed.
  • Driver’s licence and access to a personal vehicle.
  • Strong computer skills: Word, Excel, Outlook, database entry.
  • Excellent phone manner and written communication.
  • Attention to detail and organisational skills.

Responsibilities

  • Reception duties — greeting visitors and answering the main phone line.
  • Answering phones and emails professionally; direct calls appropriately.
  • Manage participant files and confidential records with accuracy.
  • Data entry into NDIS records and participant information systems.
  • Support rostering and scheduling for Support Workers (Excel-based).
  • Compliance support — maintaining registers, policies, and audit trails.
  • Assist with NDIS claiming via PRODA/NDIA portal.
  • Coordinate meetings, prepare agendas and minutes.
  • Maintain office supplies and general administration.
  • Ensure privacy and confidentiality in all tasks.

About The Role

You’ll keep the office running smoothly — the steady, organised presence that lets our support and coordination teams focus on participants. From answering phones and managing files, to data entry and supporting NDIS claiming, you’re the dependable backbone of Superior Care.

About The Role

This role also extends into compliance support — helping maintain the records, policies, registers, and audit‑trail documentation that keep SCS in line with NDIS Quality & Safeguards Commission requirements. Compliance is a meaningful part of the role, not just a side task.

Part‑time, 9am–5pm, minimum 3 days per week with flexibility on which days suit you. Office‑based with some flexibility for work‑from‑home days. You’ll be part of a friendly office team that values reliability, a calm head under pressure, and a positive attitude.

What You’ll Be Doing
  • Reception duties — greeting visitors, answering the main phone line

  • Managing participant files and records with confidentiality and accuracy
  • Data entry into our systems (NDIS records, participant info, support records)
  • Supporting rostering and scheduling for Support Workers (Excel-based)
  • Compliance support — maintaining registers, policies, and audit‑trail documentation aligned with NDIS Quality & Safeguards Commission requirements
  • Assisting with NDIS claiming through PRODA / NDIA portal (depending on your experience)
  • Coordinating meetings, preparing agendas and minutes
  • Maintaining office supplies and equipment
  • General office administration — filing, printing, organising
  • Supporting compliance with privacy and confidentiality requirements
  • Being a friendly first point of contact for families, participants, and staff
Systems You’ll Use

Note: Payroll is handled separately by another team member, so this role does not assist with payroll directly.

Reporting & Pay
  • Reports to: Senior Management
  • Pay rate: SCHADS Award (level adjusted based on experience)

  • Formal administration training or qualification
  • Familiarity with accounting software (Xero, MYOB, or similar)
