Job description

Accounts Payable Officer | Part-Time Role (0.8 FTE)
About Us

Toowoomba Anglican School is Australia's only co-educational K–12 Day and Boarding School, offering Boarding from Year 1 to Year 12. We are proudly small by design, ensuring every student, parent and staff member is known and valued within our community.

Our focus is on people, connection and delivering excellence across all aspects of school life. We are seeking a talented and motivated Accounts Payable Officer to join our Finance team.

The Opportunity

We are seeking a highly organised and detail-oriented Accounts Payable Officer (0.8 FTE, permanent part-time) to support the Business Manager and Accountant in the efficient and accurate operation of the School's accounts payable function.

This position works 30.4 hours per week and offers flexibility in how those hours are structured.

While this position is primarily an on-site role, occasional work-from-home arrangements may be available when operational requirements permit. Unlike many school-based administrative positions, this role works throughout the school holidays and includes four weeks of annual leave (pro-rata).

This is a hands‑on role suited to an experienced finance professional who enjoys working with detail, managing competing priorities and maintaining strong relationships with suppliers and internal stakeholders.

You will play an important role in ensuring supplier invoices and payments are processed accurately and efficiently, financial records are maintained to a high standard, and the School's financial controls and compliance requirements are met.

The successful applicant will also provide support across the broader Finance function, including payroll and finance administration as required.

Why You'll Love This Role
  • Permanent part-time position (0.8 FTE, 30.4 hours per week)
  • Pro-rata salary of $60,000 to $71,000 (.8 FTE) plus 12.75% superannuation
  • Generous staff fee discounts for eligible employees with children enrolled TAS
  • Flexible work arrangements with the option of working across four full days or five shorter days
  • Consistent year-round employment, including school holiday periods
  • Four weeks' annual leave (pro-rata)
  • A supportive and collaborative Finance team
  • The opportunity to contribute across multiple areas of the School community
  • A values-driven workplace where people are known, supported and appreciated
What You'll Do
  • Process and authorise accounts payable invoices in accordance with School policies and procedures using TASS and MYOB
  • Process high volumes of supplier invoices, ensuring accurate coding, approvals and supporting documentation
  • Manage supplier payments, including electronic funds transfers and cheque payments, ensuring appropriate authorisation and compliance
  • Reconcile supplier statements and investigate and resolve discrepancies promptly
  • Maintain the supplier database and assist with scheduling batch payments to support effective cash flow management
  • Reconcile and administer the School's Corporate Card program, including issuing new cards and processing monthly statements
  • Maintain accurate accounts payable records and documentation in accordance with records management, privacy and archiving requirements
  • Assist with maintaining the School's asset register
  • Support month‑end and year‑end finance activities, reporting requirements and annual audit preparation
  • Provide finance support to the Clothing Shop, including invoices and payment runs, stock codes, barcodes and stocktake
  • Assist the Toowoomba Parents & Friends Association and Toowoomba Anglican School Foundation with payables, receivables, bank reconciliations and month-end reporting using MYOB
  • Assist the Toowoomba Anglican School Association with processing the bank file
  • Assist with setting up Square terminals for School events and functions
  • Contribute to regulatory compliance obligations, including Modern Slavery reporting requirements
  • Respond professionally and efficiently to supplier and internal stakeholder enquiries
  • Identify and contribute to opportunities to improve financial processes and workflow efficiency
  • Provide backup support across the Finance function, including payroll and other finance administration duties as required
  • Ensure compliance with financial controls, School policies and relevant legislation and regulations
What You'll Bring

We are looking for someone who is reliable, collaborative and highly organised, with strong attention to detail and a commitment to accuracy.

You will ideally bring:

  • Demonstrated experience in Accounts Payable and Finance Administration
  • Previous experience processing invoices, supplier payments and reconciliations
  • Experience maintaining accurate financial records and resolving discrepancies
  • Experience using financial management systems, preferably TASS or similar accounting software
  • Intermediate to advanced Microsoft Excel skills and proficiency across Microsoft Office
  • Strong organisational and time management skills, with the ability to manage competing priorities in a busy environment
  • Excellent problem-solving and analytical skills
  • Strong interpersonal and customer service skills, with the ability to communicate effectively with suppliers, staff and external stakeholders
  • Experience supporting audit processes and compliance reporting requirements
  • A collaborative approach and willingness to support broader Finance functions, including payroll and administration, when required
  • A high level of confidentiality, professionalism and integrity
  • A commitment to ongoing professional development

Experience working in an independent school environment is desirable but not essential.
