About the job [R] Remote Real Estate Operations & Admin Coordinator

About the Role

EPOC Real Estate, a U.S.-based real estate investment and development firm, is hiring a full-time Remote Operations & Admin Coordinator based in Latin America. You'll support finance and asset management teams with compliance tracking, escrow coordination, dashboard updates, and administrative workflows. Ideal candidates are detail-oriented, process-driven, and experienced in real estate operations.

Key Responsibilities

  • Maintain and update internal administrative playbooks and SOPs
  • Track and manage legal entity compliance, billing, and renewals using Corporate Creations
  • Monitor and escalate registered agent violation notices
  • Coordinate escrow-related tasks for 33 loans, 28+ insurance policies, and 560+ property tax accounts
  • Maintain loan portal access and authorization status for all escrow-serviced loans
  • Work with escrow agents to recover missed payments and late fee refunds
  • Request, verify, and track payoff statements
  • Update monthly property dashboards with tax and insurance data
  • Respond to finance-related email, digital, and physical correspondence
  • Support internal data projects and refinancing initiatives
  • Assist with annual property tax protests and insurance quote requests
  • Submit and manage insurance claims through resolution, including escalations on underpaid or denied claims
  • Perform basic bookkeeping tasks to support finance operations

Requirements

  • 2+ years in real estate, property management, or finance/admin roles
  • Advanced skills in Google Sheets or Excel
  • Proficiency with task tracking tools (e.g., Asana, Trello, ClickUp)
  • Strong organization, follow-through, and communication
  • Self-directed and deadline-oriented in a remote work environment
  • Fluent English (C1+), both written and verbal

Preferred Qualifications

  • Familiarity with escrow coordination, insurance/tax cycles
  • Experience using G-Accon, document portals, or similar tools
  • Prior support experience in real estate compliance or finance

Compensation & Logistics

  • Full-time, remote from Latin America
  • Compensation: $2,200 - $2,500
  • Reporting to: Finance and Asset Management team
