Overview

Executive / Technology Assistant to the CEO (In-Person – Palermo, Buenos Aires)

We're looking for a bilingual, tech-savvy, and highly organized Executive / Technology Assistant to join our growing consulting company in Palermo, Buenos Aires. This is a unique opportunity to become the #2 to the CEO—helping lead and manage daily operations, technology systems, and project execution across multiple U.S. clients.

Our company builds and manages complex marketing and automation systems for clients across the U.S., all running similar tech stacks involving HubSpot, Leadspedia, PhoneBurner, Five9, Google Suite, Zapier, PipeDream, ChatGPT, and more.

You'll be deeply involved in both project management and technical execution, helping ensure that client operations and deliverables run smoothly every day.

Responsibilities
  • Act as a right hand to the CEO — managing priorities, tasks, and timelines across 3+ client accounts.
  • Oversee day-to-day project execution using tools like HubSpot Tasks, Google Sheets, Miro, and other collaboration tools.
  • Track progress on deliverables, manage follow-ups with remote developers, and ensure all milestones are completed on time.
  • Build clear documentation of workflows, automations, and client systems for internal and external use.
  • Coordinate between the CEO, development teams, and client stakeholders to keep all parties aligned.
Technology & Automation Support
  • Manage CRM and marketing systems in HubSpot—including imports, exports, automations, list segmentation, and workflow testing.
  • Maintain and troubleshoot Leadspedia lead delivery and posting integrations (GET/POST, webhooks, etc.).
  • Set up and monitor dialer systems like PhoneBurner or Five9—users, campaigns, and reporting.
  • Build and monitor automations in Zapier and PipeDream, connecting CRMs, lead sources, dialers, and Google Sheets.
  • Support AI-driven task automation using ChatGPT and documentation/diagramming in Miro.
  • Create recurring reports and performance dashboards summarizing activity across client systems.
Executive Support
  • Support the CEO in managing daily operations, preparing summaries, and organizing communications.
  • Draft and respond to client messages in fluent English, ensuring professionalism and clarity.
  • Manage calendars, meeting prep, and follow-ups to keep leadership focused on key priorities.
Requirements
Technical Skills
  • Strong working knowledge of HubSpot CRM, Google Workspace, and workflow automations.
  • Experience with Zapier, PipeDream, or n8n integrations.
  • Familiarity with Leadspedia, PhoneBurner, Five9, or similar platforms.
  • Comfortable reading and working with API documentation, webhooks, and JSON data.
  • Excellent at creating visual documentation using Miro or similar tools.
  • Prior experience supporting a marketing, tech, or consulting company is a major plus.
Project Management & Communication
  • Fluent English (spoken and written) – required for U.S. client communication.
  • Proven experience managing multiple projects, tasks, and deadlines simultaneously.
  • Strong organizational and follow-up skills — detail-oriented and proactive.
  • Able to document and explain technical systems clearly to both developers and clients.
  • Confident working alongside the CEO and comfortable taking ownership of outcomes.
