Political Asylum Lawyers in Houston seeks an Executive Assistant to support attorneys and paralegals, serving as the primary contact for clients in English and Spanish. You will manage emails, calls, and document requests, follow established workflows, and keep case development on track while keeping teammates informed.

You do not need substantive immigration law knowledge but must master our SOPs, stay organized under pressure, and adapt to changing procedures.

You will be the primary point of contact for clients, engaging them daily in both English and Spanish and bringing outstanding communication skills and empathy to those relationships. This will mean sending emails and making phone calls daily to respond to client inquiries and to seek information and documents from them as we manage their cases.

You will keep case development on track by following established workflows and flagging anything that falls behind. You will proactively communicate with your teammates to let them know of any issues or difficulties you are facing in a case, so that we can keep things moving forward.

You will not need substantive knowledge of U.S. immigration law, but you must master our standard operating procedures for managing cases and working with clients.

What You’ll Do

Your day‑to‑day responsibilities will vary based on the firm’s needs, but will include a combination of the following:

  • Work closely with attorneys, paralegals, and other staff in serving clients
  • Serve as the firm’s main point of contact with clients, supporting attorneys and paralegals in engaging clients throughout the representation
  • Serve as the bridge between clients and the legal team: surface client questions and concerns to attorneys and paralegals, and relay guidance back to clients clearly
  • Return phone calls and reply to emails from clients and potential clients
  • Proactively provide status updates so clients always understand where their case stands and what comes next, rather than only responding when contacted
  • Set and manage clear expectations with clients about timelines, the process, and what will be required of them at each stage
  • Work with clients to ensure they perform tasks designated for them in developing their cases
  • Proactively identify clients who are disengaged, confused, or at risk of missing a step in their case, and intervene before it becomes a problem
  • Coordinate case logistics: scheduling appointments and preparation sessions, sending reminders, and following up to keep clients engaged
  • Proactively manage cases to ensure deadlines are met
  • Maintain tracking systems specifically built to catch clients before they fall through the cracks, not just to track deadlines
  • Compile and submit filings to immigration agencies
  • Perform administrative tasks as assigned
  • Contribute to the development and improvement of company protocols and processes
Requirements
Who You Are
  • Experience preparing immigration applications is preferred but not required
  • Commitment to the firm’s mission of helping immigrants secure their future in the United States through asylum
  • Fluent in Spanish and English

Your Role

This is a wide-ranging Executive Assistant seat supporting the CEO across both business and personal logistics. The company needs someone who anticipates what's coming, juggles competing priorities without dropping the ball, and takes things off the CEO's plate before they become urgent — not after.

You’ll:
  • Own the CEO's inbox — triage, prioritize, and make sure what matters gets answered on time
  • Run the calendar — schedule meetings, resolve conflicts, and keep it moving without constant check‑ins
  • Handle all travel end‑to‑end — flights, hotels, cars, points/rewards optimization, and fast rebooking when plans change
  • Coordinate conference and event logistics — booth orders, registrations, and on‑site details
  • Act as the liaison between the CEO and internal/external stakeholders, keeping communication timely and professional
  • Take on business admin (purchasing, record‑keeping) and personal/household logistics (home maintenance scheduling, appointments) so both sides of the CEO's life stay covered
  • Step into special projects and research as they come up, and handle confidential information with airtight discretion
You Bring:
  • Proven experience as an Executive Assistant, ideally in a startup or fast‑paced environment
  • Real travel‑planning chops — comfortable with airlines, hotels, points/rewards programs, and complex itineraries
  • Sharp organizational and time‑management skills with genuine attention to detail
  • A proactive, flexible mindset — you spot what's needed and handle it before it's urgent
  • Strong written and verbal communication
  • Comfort with modern productivity and project management tools (Google Workspace and similar)
